In order to promote nutrition initiatives, policies, and programs, such as school meals and food fortification, WFP collaborates with governments, other UN agencies, NGOs, and the corporate sector.

TASKS

The duties for Internship – Business Support Assistant  are :

  • Operating as the first point of contact for the Head of Office.
  • Handle diary and schedule meetings and appointments.
  • Help with travel arrangements.
  • Take dictation and minutes of discussions following up on the action items.
  • Gather, sort and disseminate correspondence, reports and other material to meet the required demands of staff to time standards.
  • Reply to routine queries received and escalate where appropriate, to provide a timely and accurate service to clients.
  • Be responsible for the receipt and enrollment of letters and courier.
  • Supervise and monitor the stock for stationery and request for replenishment when required.
  • Controlling receiving material for various Activities to be stored in the container, also monitoring stock-out and expiry dates of material to report the various units to conduct distribution on time.
  • Reply to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
  • Help the maintenance of office physical and electronic files, documents, and records in accordance with established systems and processes so that information is current and readily available for staff.
  • Complete visitors and direct to the respective room and/or staff member accordingly.
  • Support in the administration of booking requests for Meeting rooms.
  • Oversee housekeeping staff and support with maintenance of the facilities.
  • Any other responsibilities or tasks which may be assigned by the supervisor or by management.

QUALIFICATIONS

The requirements for Internship – Business Support Assistant  are :

  • Currently enlisted and have attended University courses in the last 12 months inclusive of having completed at least two years of graduate studies or have recently graduated in the last 6 months in Business Administration, Public Administration, or equivalent areas of studies.
  • Mastery in MS Office (Word, Excel, Power Point, Outlook).
  • Excellent command of Portuguese is demanded.
  • Working knowledge of English would be an advantage.
