UN Women in Mexico, in line with national priorities and international and regional instruments for the protection and defense of women’s human rights, mainly the Convention on the Elimination of All Forms of Discrimination against Women (CEDAW, for its acronym) in English), as well as with the recommendations generated by the bodies in charge of its oversight, works to achieve substantive equality between men and women in all aspects of life, focusing on four priority areas:

Duties and Responsibilities
Key Features/Results Expected

Under the supervision of the UN Women Mexico Operations Analyst, the Senior Administration Assistant will provide support in the following activities:

Features:

Provide administrative and logistical support in the programs and projects assigned to you:

  1. Provide support and follow up on administrative processes (procurement, travel, requests and payments for services and products) and logistics of assigned programs and projects, in accordance with UN Women rules, regulations, policies and strategies.
  2. Provide administrative support in financial services (payment requests and their monitoring) for the execution of programs and projects;
  3. Support the attention of event organization needs;

Provide support in the process of contracting goods and services

  1. Support the processes required for the contracting of goods and services from legal entities and/or individuals;
  2. Request quotes and make comparative tables for minor purchases and procurement processes that require it;
  3. Enter service and travel requests into the Quantum system (ERP)
  4. Carry out the necessary administrative monitoring from the beginning of the procurement process until the payment of services and the end of each process;
  5. Support in carrying out contracting and bidding tasks (prepare and fill out evaluation matrices, support in the coordination of evaluation panels, take minutes, prepare the procurement checklist, vendor requests, etc.);
  6. Support in the implementation, organization and logistics of events, work meetings, workshops, seminars, meetings, among others;
  7. Support in the organization and coordination of trips for the team’s field work (mission plans, security uthorizations, logistical arrangements, travel expenses, etc.);

Support administrative control activities

  1. Carry out review and monitoring of the financial and administrative processes of the different projects (financial reports, budget reviews, follow-up on requisitions, periodic monitoring with the Operations area, etc.);
  2. Support the administrative exercise of opening and closing projects;
  3. Provide the Administration and Finance area of ​​UN Women with the necessary information to feed the databases and personnel records;
  4. Maintain a filing system that guarantees the order and availability of documents, collate and organize documentation in files and procure confidential documents, in accordance with the lists of official documents and classification of the UN Women/United Nations filing system.

Provide support for other administrative and/or operational activities

  1. Collaborate in the integration of administrative and/or operational reports that are required;
  2. Support and manage the timely supply of stationery as required;
  3. Provide administrative support for the creation of knowledge products and other materials;
  4. Organize and archive the documentation (correspondence, products, reports, among others) of the different projects under your charge, both physically and electronically according to organizational standards, as well as with the donor’s review requirements and any type of internal audit;
  5. Collaborate in the integration of reports and documents of the project(s);
  6. Carry out other administrative and logistical tasks as required.

Required Skills and Experience
Hiring Qualifications

Education:

  • Bachelor’s studies in Business Administration, Accounting, Finance and/or related economic-administrative areas.
  • Highly recommended title. 

Experience:

  • Experience of at least 3 years in administrative and financial process control functions;
  • Previous experience in activities or programs related to topics relevant to the position (gender equality, women’s rights, violence against women, women’s political participation, human rights, among others) will be valued.
  • Experience working with civil society organizations, international organizations and donors is valued.
  • Management of Microsoft Office and Windows XP packages.

Language and additional requirements

  • Verifiable oral and written command of the English and Spanish language is essential.
  • Knowledge and previous experience managing an Enterprise Resource Planning (ERP) such as Oracle, People Soft, SAP, etc. is valued.
  • Desirable experience of work or interaction with organizations of the United Nations system.
  • Mexican nationality or having a valid work permit is essential.
