Overview of position
The consultant will support the Institutional Contracting (IC) team by managing reporting, assisting with bid circulation activities, confirming bid receipts from vendors, drafting contract content in Word documents & providing other administrative support to the team.

Role objectives
Key tasks & responsibilities:

Assist in the preparation & distribution of bid documents to vendors & confirm the receipt of bids.

Support drafting of contract content using Microsoft Word based on procurement needs.

Prepare bid tabulation for projects in Cox’s Bazar (mainly in WASH).

Assist the team with timely reporting, maintaining accuracy in records.

Provide administrative support to the team.

Monitor the timeline for bid evaluations & provide timely updates to the team.

Perform additional tasks as assigned by the supervisor.

On the last week of every month the selected candidate should submit the progress report covering key tasks & responsibilities as mentioned below:

Detailed monitoring reports; based on RFP / TOR / amendment request & insight dashboard reports.

List of completed procurement activities:

List of bids circulated.

List of meeting arranged (both internal & external).

List of procurement document drafted i.e., bid, contract, long term arrangement etc.

List of procurement files organized.

Project reporting
This role reports to the line manager.

Key competencies
Bachelor’s degree in business administration or a related field with at least 3 years of relevant experience in procurement or supply chain management, including vendor communication & contract drafting.

Proficiency in Microsoft Office, particularly in Word & Excel.

Very good English communication skills.

Strong communication & report writing skills, with the ability to present complex findings in a clear & accessible manner.

Experience with service procurement & contract management.

Proficiency in Power BI.

Team management
This role has no team management responsibility.
