Duties and Responsibilities
Located within the UN Environment Division of Economy, the Resources & Markets Branch (UNEP-RMB) seeks to conserve the environment, reduce poverty, and promote sustainable development by enhancing the capacity of governments, businesses, and civil society to integrate environmental considerations into economic, trade, and financial policies and practices in accordance with the partnership and integrated policy-making approaches of sustainable development.

As part of UNEP-RMB, the UNEP Finance Initiative (UNEP FI) (www.unepfi.org) is a unique global partnership between the UNEP and the private financial sector. UNEP FI works closely with over 200 financial institutions that are signatories to the UNEP FI Statements of Environmental Commitment, and a range of partner organizations to develop and promote linkages between the environment, sustainability and financial performance. Through its industry commissions, thematic advisory groups and regional activities, UNEP FI carries out its mission to identify, promote, and realize the adoption of sustainability practice at all levels of financial institution operations.

Responsibilities

1) Assist the UNEP FI HR focal point in ensuring Consultant and Intern Terms of Reference are at the required level before submission to Administrative Officer. Ensure due process is followed in reviewing applications who have applied through INSPIRA for consultancies or Internships. Assists in collating all the required paperwork for submitting Consultant and Intern requests to Head of Branch or Head of Division for approval.

2) Assists in liaising with interns and consultants to ensure they submit all the required paperwork to have them enrolled in their respective areas (i.e.: HR Minimaster / Banking forms for UMOJA / CDL cards etc.). Assist in helping get consultants and interns set up and ‘on-board’ in the office by working with ICTS to ensure desk / computer / phone are set up.

3) Assist the HR focal points in collating the required paperwork to HR approving Officer so that contracts can be issued. Help maintain HR files both hard and soft copy and ensure all files are up-to-date with all the required signed copies / approvals etc. Assist the respective focal points in collating the required paperwork to make payment to consultants when required.

4) Coordinate with consultants and team leads to ensure due record of monthly deliverables and activities. Assist in processing consultant payroll in Umoja.

5) Assist FI Administration with their invoicing process, by tracking invoices, filing the required paperwork and assisting in following up with member institution if and when required.

6) Take the initiative in organizing intern meeting with the head of unit, internal weekly coaching sessions, and additional briefings if and when required.

7) Undertake additional Administrative duties if and when required. It may include but is not limited to:

Assist the UNEP FI Travel focal point in ensuring Staff / Consultant / Meeting Participant travel requests are at the required level before submission to Administrative Officer for approval.

Assist in collating all the required paperwork for Travel Approvals / Travel Requests / Travel Expense Reports / Mission Reports.

The candidate should have strong administrative skills, and a sound knowledge of the field of Human Resources. Excellent research, communication and writing skills in English, as well as a high degree of motivation and self-organization are required.

Monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems. Keeps clients informed of progress or setbacks in projects. Meets timeline for delivery of products or services to client.
Qualifications/special skills
Applicants must at the time of application meet one of the following requirements:

a. Be enrolled in a graduate school programme (second university degree or equivalent, or higher);

b. Be enrolled in the final academic year of a first university degree program (minimum Bachelor’s level or equivalent);

c. Have graduated with a university degree and, if selected, must commence the internship within a one-year period of graduation.

Final year undergraduate or master’s degree student in Business Administration, Human Resources or a related area, or recently graduated (candidates are eligible for this position up to one year after the graduation date).

The intern must be able to show proof of enrolment or of graduation date if selected for this position.
Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required.

Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. Languages
English and French are the working languages of the United Nations Secretariat. For this internship, fluency in oral and written English is required. Knowledge of another UN Language is desirable.
