Functional Responsibilities
Senior Finance Associate, under the direct guidance and supervision of the Project Manager, will collaborate and report on the implementation and financial monitoring of the project.
He/she will also report and coordinate directly with the Administration and Finance area the progress and issues related to the financial administrative aspects of the project. Senior Project Associate duties include:
1. Support the Project Manager in implementing contract administration and financial monitoring strategies and policies to obtain the following results:
- Comply with financial administration activities by applying UN and UNOPS regulations and policies, procedures, administrative instructions, organizational guidelines, effective implementation of internal control and customer-oriented administrative and financial management.
- Comply with the project’s financial and administrative registration and reporting activities, following the recommendations of the organization’s respective bodies.
- Monitor and assist in the project’s administrative and financial management processes.
- Support in managing the project’s financial resources.
- Support in analyzing and monitoring the financial situation, budget forecasts and financial transactions of project projects.
2. Assist in accounting operations and related to the administration of project budgets to obtain the following results:
- Presentation of thoroughly reviewed information for planning and preparing the budget for the project’s financial resources.
- Preparation of reports and analysis of the project’s financial situation.
- Preparation and monitoring of budgets, analysis and regular reports on budget approvals and progress of project financial implementation.
- Monitoring of project transactions (revenues and expenses) and their correct registration in the financial system.
- Timely corrective actions regarding any erroneous data.
- Preparation of project financial reports for presentation to counterparties.
- Ensure that all documentation required for a contract is obtained prior to signing the contract. This includes appropriate bank guarantees and other guarantees as indicated in the bidding documents.
- Monitoring and administration of signed contracts, adequately controlling compliance with the contract, deadlines and supporting documents for payments, as well as estimating penalties and/or costs to be borne by contractors or suppliers, in accordance with the terms and conditions of relevant contracts.
- Assist with processing supplier/contractor payments, ensuring adequate supporting documentation.
- Monitoring and updating the Letters of Guarantee file to confirm their validity.
- Technical assistance and preparation of financial documents for the operational and financial closure of the project.
3. Support the Project Manager in the processes of additional changes to the project.
4. Carry out daily activities, such as:
- Coordinate meetings with Entities and/or contractors.
- Responding to inquiries from Entities and/or contractors.
- Maintain a file for each contract with all respective administrative and financial documentation.
- Collaborate in preparing responses to the various communications received, coordinating with the responsible technical specialist in the case of technical issues.
- Other activities that may be requested by your supervisor. Summary of main functions:
- Implement effective financial management policies and strategies.
- Monitor, control and execute financial administrative support related to the project. Facilitate the generation/exchange of knowledge.

She will also report and coordinate directly with the Administration and Finance area, the progress and problems related to the financial administrative aspects of the project. Among the functions of the Senior Project Associate, the following stand out:
1. Support the Project Manager in the Implementation of contract administration and financial monitoring strategies and policies to achieve the following results:
- Comply with financial administration activities by applying United Nations standards and UNOPS regulations and policies, procedures, administrative instructions, organizational directives, the effective application of internal control, and customer-oriented administrative and financial management.
- Comply with the financial and administrative registration and reporting activities of the project, following up on the recommendations of the respective instances of the organization.
- Monitor and assist in the administrative and financial management processes of the project.
- Support in the management of the project’s financial resources.
- Support in the analysis and monitoring of the financial situation, budget forecasts, and financial transactions of the project’s projects.
2. Assist in accounting operations and related to the administration of the ster project budgets to achieve the following results:
- Presentation of thoroughly reviewed information for the planning and design of the budget of the project’s financial resources.
- Preparation of reports and analysis of the financial situation of the project.
- Preparation and monitoring of budgets, analysis and regular reporting on budget approvals and progress of the financial execution of the project.
- Monitoring of transactions (income and expenses) of the project and their correct registration in the financial system.
- Timely corrective actions on possible erroneous data.
- Preparation of financial reports of the projects for presentation to counterparts.
- Ensure that all documentation required for a contract is obtained prior to contract signing. This includes proper bank guarantees and other guarantees indicated in the tender documents.
- Monitoring and administration of signed contracts, making adequate control of their compliance, deadlines and supporting documents for payments, as well as estimating penalties and/or expenses borne by contractors or suppliers, in accordance with the conditions established in the corresponding contracts.
- Assistance in processing payments from suppliers/contractors, guaranteeing proper supporting documentation
- Monitoring and updating the file of Guarantee Letters confirming their validity.
- Technical assistance and preparation of financial documents for the operational and financial closure of the project.
3. Support the Project Manager in the processes for new project amendments.
4. Carry out daily activities, such as:
- Coordinate meetings with Entities and/or successful bidders.
- Answer queries from Entities and/or successful bidders.
- Maintain the file of each Contract with all the respective administrative and financial documentation.
- Collaborate in the preparation of responses to the various communications received, coordinating with the technical specialist in charge in case of technical issues.
- Others than are required by your supervisor. Summary of key features:
- Implement policies and strategies for effective financial administration.
- Monitor, control and perform financial administrative support related to the project.

Education/Experience/Language requirements
Education
- You must have completed high school.
- A bachelor’s and/or technical degree is preferred, preferably in business administration, finance, accounting, public administration, economics, engineering or other related fields (a few years of experience may be substituted).
- A technical diploma and two years of experience in addition to those required will be accepted (a total of 4 years of experience).
Experience
- You must have 3 to 7 years of relevant experience (depending on the level of education provided) in providing financial management services, preferably in an international organization.
- Experience in project accounting and preparation of financial statements and/or budgets is required.
- Knowledge of Brazilian financial rules and regulations is required.
- Experience using Google Suite, especially Google Sheets, is an advantage.
Languages
- Native Portuguese is required
- Intermediate knowledge of English and/or Spanish is required.
