PURPOSE OF THE POSITION
Coordinate and provide high-quality administrative services, focused on the client and aimed at achieving the best quality-price ratio.
KEY ACTIVITIES
- Verify resource needs in own area of responsibility (WFP facilities, assets, light vehicle fleet, etc.) and help identify new needs to facilitate efficiency and cost-effectiveness of operations and services;
- Responsible for the provision of various services, such as those related to facilities management, travel, protocol, light vehicle management, among others, reporting any discrepancies to the supervisor to ensure that services are provided consistently and timely, to ensure a safe and comfortable working environment for WFP staff;
- Assist in producing various types of data and compiling and preparing reports to contribute to the provision of accurate information for informed decision-making and to support the effective and timely management of WFP resources;
- Contribute to the planning, monitoring and processing of administrative measures related to procurement, finance, human resources, etc., including contracts with external suppliers, to ensure that all data is recorded accurately and timely and are processed in WFP’s corporate systems, and that all operational issues are resolved;
- Adapt and update administrative processes, supporting the implementation of operational procedures, in order to contribute to the continuous improvement of administrative services in the area of responsibility;
- Respond to a range of queries related to the provision of administrative services in order to help solve everyday problems;
- Coordinate the activities of a team of staff members working in the same area, to ensure that individual and collective objectives are met in accordance with all relevant provisions, policies and procedures, and the professional action plan;
- Provide training and guidance to staff in the interpretation of administrative procedures, policies and processes, and in the use of institutional systems to ensure consistency and efficiency of services provided to all clients;
- Incorporate the corporate policy guidelines related to gender equality in all its activities;
- Other related tasks/activities assigned by the WFP Country Office Representative ;

Training:
Completion of the secondary education cycle. Certificate of post-secondary education in the corresponding functional sphere.
Languages:
General Service (field): Proficiency, spoken and written, in the official language of the United Nations used at the duty station and intermediate knowledge of the English language is desirable;
DESIRABLE EXPERIENCE
- At least 6 years of experience in similar positions;
- Previous work experience within the United Nations system and knowledge of international humanitarian and development issues through daily work is desirable;
- It is desirable to have general knowledge of protocol issues;
TERMS AND CONDITIONS
World Food Program (WFP) Service Contract (SC) until December 2024. The salary level on the United Nations National Scale for a Service Contract will be SC6.
