ORGANIZATIONAL CONTEXT:
Internship offers take place in the country offices (CO) of the United Nations World Food Program (WFP). Incumbents typically provide administrative and research support to one or more teams and/or support a line of business, and report to a specific technical unit. Work is carried out under close supervision and interns are expected to produce organized and accurate work and are not authorized to make any statements on behalf of the organization.
PURPOSE OF THE INTERNSHIP:
The candidate will work under the direct supervision of the HR Assistant to support the organization, help desk and administrative tasks.
DATE / LOCATION: Early 2024, at the WFP Senegal country office (Dakar)
KEY RESPONSIBILITIES (non-exhaustive) :
- Assist in the preparation of employment contracts for Local Staff (FT, SC, SSA, consultants);
- Maintain all staff files up to date, ensuring they are complete and that documents are in their respective files;
- Update the roster, organization charts and staff lists (Global Staffing List and Badge List, monitoring training list, etc.);
- Maintain recruitment/separation files, performance reports;
- Assist the HR Assistant in implementing a staff training plan;
- Preparation of Purchase Requisition (PRs), Petty Cash and Payment Requests;
- Prepare correspondence that must leave the Human Resources unit (work certificates, salary domiciliation, medical coverage letter, extension and UNLP referral to Headquarters);
- Complete mandatory online training and related training,
- Perform other related tasks as required.
MINIMUM QUALIFICATIONS AND EXPERIENCE:
Education
Be currently enrolled in a recognized university/training school and have completed at least two years of study of the bachelor’s degree; or have obtained a license in the last 6 months.
Be currently enrolled in a recognized university in a Master’s cycle
Performance indicator :
- Regular database update
- Transmission of personnel lists to security and upon request
- Completed and properly filed personnel files
- Monthly attendance reports filed (12)
- Annual staff reports completed and filed
- Registered recruitment files and all classified documentation
- Payroll signed by the different parties and classified (12)
- Transmission of HR information at the request of management
LANGUAGES :
Perfect command of French
Intermediate level in English
DELIVERABLES AT THE END OF THE INTERNSHIP
• Good general understanding of WFP’s overall operations and activities in the country of assignment
• Familiarity with humanitarian principles and processes
• Good communication, negotiation and coordination skills
• Good knowledge of work standards and policies of the assigned unit
TRAINING COMPONENTS/LEARNING ELEMENTS
Throughout their mission, PAM interns have access to a cutting-edge learning platform, WeLearn. Depending on opportunities and availability of funds, interns may participate in WFP workshops or seminars, as appropriate. Interns will ensure compliance with required course requirements in accordance with organizational guidelines:
- Mandatory PAM courses.
- Skills development Rule 70|20|10.
- Undertake a minimum of 3 technical courses in the respective field of work.
Other Job Requirements
- Interns receive a monthly stipend from WFP
- Internships must be carried out in person
- WFP is not responsible for living expenses, accommodation arrangements and related costs.
- Once you have been selected for an internship with PAM, please be prepared to provide your recent academic record, i.e. proof of enrollment or degree, as well as course transcripts. WFP will recognize the qualifications of applicants from recognized institutions that have been certified by relevant international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of education.
- The duration of the internship is 6 months, full-time.
- The intern will have to read and write in both French and English.
- This is an internship and does not constitute a long-term work commitment.
- Most positions at WFP require min. 3 years of experience, the internship is therefore a step towards knowing the PAM for a future return.
