Terms of Reference

The Position
The Program Intern receives guidance from the Assistant Program Officer and may receive indirect guidance from other sections and units relevant to the Medellin Sub-office. The UNHCR manual, the Program Handbook, the multi-year strategy, the protection and solutions strategy of the North-West Sub-Bureau, the financial and budgetary rules and regulations of the UN and UNHCR will guide the work of the Program Intern.
The incumbent is expected to have relationships within the organization to gather information, support program activities, and implement administrative requirements. You will be expected to work in line with the cross-functional team (MFT) approach as defined in the Program Handbook, ensuring the involvement of relevant stakeholders in all phases of the program management cycle.

Tasks and Responsibilities
Under the direct supervision of the Assistant Program Officer, the Intern will carry out the following tasks:
• Support administrative assistance activities, services and routine activities of the Program Unit.
• Support the implementation of purchasing processes in accordance with the amounts delegated to the Head of the Sub Office, the relationship with suppliers and logistical support to the multifunctional team of the Medellín Sub Office in accordance with UNHCR purchasing policies
• Support the implementation and monitoring of activities under direct implementation of UNHCR in accordance with the Program Handbook.
• Lead and consolidate the UNHCR Consolidated Reporting Matrix in the North-West Sub Office.
• Prepare basic material to be used in team meetings and keep minutes of the meeting spaces of the Subregional Program Unit.
• Support filing and correspondence tasks
• Support programmatic management tasks for agreements with partners when required
• Other activities that are requested by the supervisor.

Minimum Required Requirements
To be eligible for an internship position, candidates must meet the following requirements:
– Be a recent graduate (having completed their studies in the two years prior to applying) or a student in progress in a degree/degree study program. bachelor’s degree from a university or higher education center accredited by the UAI/UNESCO; and
– Have completed at least two years of university studies in a field relevant or of interest to UNHCR’s work.

Profile and Desired Skills
Student in the last semesters of Administration, International Relations, Finance, International Business, Engineering, Accounting, Economics, or other related fields.
Excel/office package level: Intermediate;
English Level: Intermediate;
Excellent interpersonal relationships, including ability to establish and maintain effective working relationships with people in a multicultural environment, with sensitivity and respect for diversity;
Capacity for teamwork; and
High degree of confidentiality, loyalty to the Organization, training in values, conduct and ethical principles that allow you to maintain impartiality and interact appropriately with national and international officials.

Conditions
This is a full-time position with a work schedule from Monday to Thursday 8:30am – 5:45pm and Friday 8:30am-04:30pm (40 hours per week). The selected candidate will be assigned to support the team in Medellín.
The costs and procedures associated with visas, stay, medical insurance or equivalent are the responsibility of the intern. UNHCR will provide a monthly subsidy.
UNHCR is not responsible for the intern’s medical insurance or for costs associated with accidents or illnesses incurred during the internship.
Acceptance of the internship will be subject to the presentation of medical and accident insurance, valid for the place where the internship will take place, as well as all other documents required for the attachment of interns.
If the internship is carried out as a requirement to obtain a degree, its acceptance is subject to the presentation of proof of affiliation and payment of contributions to the General System of Occupational Risks of the student processed by the University, University Institution or Higher education; as well as the delivery of other documents required for the internship. If the practice is carried out independently, it is necessary in any case to present proof from the corresponding ARL.
In the event that the Security Risk Assessment (SRA) changes during the execution of the internship, there is the possibility that it will be suspended in order to protect the integrity of the intern.
The intern will not be able to go on a mission to places outside the country where the internship is accepted.
