Job Overview:  The Grants Coordinator supports increased capacity of the International Rescue Committee in Arizona to pursue and manage diverse funding for a variety of programs through prospecting for new grant opportunities, supporting grants administration for pre-award, award and post-award processes, and engaging program staff in training and education to improve grants processes and systems. The coordinator will be responsible for supporting the development and submission of new proposals; maintaining IRC’s grant management database, pipeline, reporting schedule and other organizational systems; contributing to the office-wide culture of philanthropy; supporting sub-award processes, and engaging with broader development team efforts to engage the community. The Grants Coordinator works within the Development Department and reports to the Grants Manager.
Major Responsibilities: 
Proposal Development
  • Research and identify new public and private funding opportunities in coordination with program focal points, Grants Manager and other development staff.
  • Support with proposal development activities including grant writing, budget creation, program design, internal reviews and submission.
  • Lead grant opening and closing meetings with program, finance, and other teams.
  • Maintain grant reporting calendar and ensure funder reporting deadlines are met.
  • Ensure pending and current opportunities are tracked and updated using grant tracking tools and IRC’s grants management database.
  • Participate in grant monitoring and budget vs actual meetings.
  • Support partnerships and sub-award activities in alignment with IRC’s Partnership Excellence for Equality and Results System (“PEERS”) system.
  • Maintain and improve organizational systems for grants administration in coordination with local leadership, program managers, development team and HQ. 
  • Support adherence to internal standards and compliance for proposal development, reporting, HQ workflows, and donor compliance.
  • Participate in program design and other grant-related workshops.
General Development
  • Develop organizational tools for concept notes, boilerplate language, data collection, templates and other efficiency measures to streamline the grant processes.
  • Support the development of training resources to improve internal workflows, and ensure all programs follow grants management processes and business development standards. 
  • Participate in development team meetings, weekly staff meetings, skills building trainings, calls, and communities of practice. 
  • Other duties as assigned. 
Job Requirements: 
Work Experience: 
  • 2+ year of Grants management and administration work experience required.
  • Demonstrated writing and editing experience required.
  • Experience providing formal and informal training, developing tools, systems and processes preferred. 
Demonstrated Skills and Competencies: 
  • Strong organizational skills including multi-tasking, prioritizing, planning, and effective time management.
  • Ability to communicate with limited-English speakers.
  • Demonstrated multi-cultural experience.
  • Highly proficient in Microsoft Office Suite and Adobe Acrobat.
  • Motivated, flexible and ability to work independently.
Education:  
Bachelor’s Degree in Community Development, Nonprofit Management, or related field or demonstrated work experience equivalent.
Language Skills/Other: 
  • Strong written and oral communication skills with a fluency in written and spoken English
  • Valid driver’s license, active insurance policy and access to reliable transportation.
  • Valid driver’s license and access to a personal, insured vehicle.
  • Must possess or be eligible to receive an Arizona fingerprint clearance card.
Preferred experience & skills: 
  • Ability to work both independently and in a dynamic, cross-functional global team structure
  • Demonstrated ability to work effectively with stakeholders at all levels
  • Ability to manage and work through change in a proactive and positive manner. 
  • Project management and finance experience a plus.
Working Environment:  
Standard office working environment with the possibility of partial remote work. 
 
Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
