Duties & Responsibilities
KEY ACCOUNTABILITIES:
- Responsible for operationalizing all food inspection-related works in the FSQ team, including creating work orders, understanding scope of work, monitoring delivery of inspection reports and ensuring the highest standard of work quality from inspection companies.
- Implement and monitor application of protocols to ensure that food safety and quality principles are followed across the supply chain.
- Visit producers/traders contracted by WFP to oversee the inspection operation ensuring compliance with WFP requirements.
- Conduct unannounced visits to suppliers’ production sites to verify the inspection activities of inspection company as per daily inspection reports/checklists.
- Visit FDPs/CPs making sure that indoor food management/handling processes follow WFP Expectations/standards.
- Consolidate technical recommendations reports and follow up with inspection company to implement these improvements within set time frame.
- Provide a set of standard business support activities, where required, to contribute to the effective functioning of business operations.

Duties & Responsibilities
KEY ACCOUNTABILITIES (not all-inclusive)
GENERAL RESPONSIBILITIES:
The incumbent supports on all Custom activities:
- Manage the status of issued Exemption Certificates (ECs) ensure all customs clearance process to be completed by transporter duly in time before the ECs expiration date.
- Communicate with Area Offices (AOs) and transporter accordingly to follow up with the customs clearance process.
- Regularly reconcile the balances of each ECs vs available stock in neighboring countries and share the latest report to AOs for the smooth usage of the ECs before getting expired.
- Regular follow up with AOs for cross-border operation related to ECs balances and its expiration date.
- Monitor T1 status in ASYCUDA system and coordinate with Ministry of Foreign Affairs (MoFA) and Customs Revenue Department (CRD) to resolve issues if required.
- Liaise with Pakistan CO for smooth process of detention verification. Follow up with AOs in updating the border tracking sheet. Ensure all the data inserted is accurate and verified with appropriate documents. Make sure latest data is uploaded in order for Pakistan CO to process the verification of detention invoice.
- Enter and release the NVs in ASYCUDA after the EC letters approved by the signatory.
- Assist and advise C&F agents for the usage of ASYCUDA GD user and support them for any technical issues as an ASYCUDA specialist and focal point in CO.
- Assist Logistics Assistant in updating the online EC tracking sheet on regular basis and keep track of all imports into the country under each EC.
- Translate external memos/ letters, and verbal communication into English received from MoFA, CRD and other stakeholders when required.
- Assist Supply Chain Officer in drafting letters, arranging meeting with Ministries, and other duties if required.

INFORMATION MANAGEMENT:
The incumbent will support on all ASYCUDA information management activities:
- Work closely with C&F Agents and Transporter for resolving the pending T1s on time with in EC validity to have correct data in ASYCUDA system for WFP custom clearance
- Assist in developing and maintaining information management tools, such as EC usage reports, dashboards, and monitoring the EC usage reports.
- Managing the ECUs End User Certificate, review it and making it ready for the signatory to sign for the International Shipment
- Facilitate sharing of best practices and lessons learned by maintaining a knowledge repository.
- Collaborate and Coordinate with all AOs the ASYCUDA management and communicate to the C&F and Local agent for any issue to ASCUDA entries.
- Communicate any issues arises at border custom related to ASYCUDA and initiating border custom clearance.

Duties & Responsibilities
Under the supervision of the Fleet Senior Logistics Associate & Fleet manager and in co- ordination with FMS staff, the incumbent shall perform the following duties:
- Provide support to Logistics operation and activities, following standard processes and facilitating, directly or indirectly, the effective of food assistance to beneficiaries.
- Support management of Logistics Fleet vendors’ contracting activities including performance monitoring and measurement.
- Assist in monitoring inventory management processes to track trends and account for the inventory status from source to Fleet Monitoring System.
- Support operational pipeline analyse, assessments and operation planning for all delivery modalities.
- Ensure that proper workshop administration, record keeping & vehicle history records are well maintained via the Fleet Management System (FMS).
- Ensure that any information/data or reports requested are promptly carried out and expedited in an efficient manner.
- Perform software checking routines established and ensure that all the data downloaded into the system is accurate and take the necessary steps to resolve any irregularities.
- Responsible to ensure that all data produced in the system is accurate and always sent and received on a timely basis and to report any irregularities to immediate Supervisor.
- Assist and ensure that all reports and information as required by the Organisation are produced promptly on a timely basis via FMS. Additionally, analyze information and quality of report prior to distribution.
- Implement best practices established and ensure that KPI’s (Key Performance Indicators) are maintained with parameters set.
- Consolidate all findings and to convert these conclusions reached into useful formats which can be interpreted by management for appropriate action and decision making.
- Constantly collect and collate useful data which can be used to improve the re- established and communicate this information to immediate supervisor.
- Organize & implement regular internal stock-taking and ensure that all stock records are accurate in accordance to auditing practices.
- Ensure that all normative guidelines, systems, and procedures established for stock management are strictly adhered to.
- On a quarterly basis, supervise and oversee the actual physical inventories of spare parts and materials, according to Spare parts inventories SOP and submit to the Fleet Store keeper in Country Office.
- Will perform daily reconciliation exercises of all records and transactions performed within the same day and ensure that data validation, integrity and accuracy of data are maintained.
- Share experiences gained with other staff members and strive towards creating good team building and harmonious atmosphere.
- Responsible to ensure that all staff (persons reporting) carry out their duties in accordance with their Job Descriptions set.

Performance criteria:
- Ensure that all outsourced staff are performing their duties according to WFP standards.
- Ensure that attendance sheets are compiled and submitted to CO each end of the month for payroll purposes.
- Ensure that Mechanics & other staff perform the work carried out in accordance with manufacturers’ standard times and minimise downtime.
- Ensure that the quality of workmanship is carried out to a satisfactory standard in accordance with the criteria set to minimise repeat-repairs.
- Ensure that Loss or damage of Spare parts, Tools, or Equipment as well as Loss of Fuel in the care of the employee shall be deducted from the salary based on CIF value or Local Market Rate, whichever is prevailing.
