RESPONSIBILITIES

General responsibilities:

  1. Ensure adherence with NRC policies, tools, manuals and guidelines. 
  2. Support with the implementation of the support function portfolio according to the action plan.
  3. Prepare and develop status reports required by the team leader.
  4. Ensure proper completion [FV1] of documents for payment management, inventories and formats under your responsibility. 
  5. Promote and share ideas for the improvement of support functions.
  6. Carry out the work in accordance with the work and development plan.

Specific responsibilities

  1. Monitor and verify the provision of connectivity services (fixed lines, mobile lines and internet service) from assignment to payment. 
  2. Carry out the registration of information in the databases arranged for the monitoring and control of administrative processes. 
  3. Manage and monitor the reservation, confirmation, billing and reconciliation process of accommodation services. 
  4. Manage and support the platforms arranged for the request of travel services of NRC staff and visitors, in accordance with the current procedures and framework agreements stipulated by the management unit; ensuring proper management from reservation to billing and payment.
  5. Review and follow up on billing reports issued by administrative service providers, guaranteeing their correct management
  6. Request and monitor portfolio statements issued by different administrative service providers. 
  7. Support the preparation of reports and reports requested by supervision
  8. Compile and consolidate the physical file in charge of the administration unit in the area for primary transfer in accordance with the Document Management guidelines. 
  9. Carry out the management of real estate contracting and the correct monitoring and processing of expenses related to operational contracts in charge of the administrative unit. 
  10. Other tasks assigned by the immediate supervisor in compliance with the objectives of the position.

QUALIFICATIONS

These are the skills, knowledge and experiences that are important for effective performance.

General professional competencies:

  • Previous work experience of at least 1 year in functions related to the position. 
  • Experience working in support functions in humanitarian aid contexts
  • Verifiable experience related to the responsibilities of the position
  • Some knowledge of the English language                      

Specific skills, knowledge and experience of the context:

  • Recently graduated professional in administrative sciences, business administration and/or accounting. 
  • Proven experience using MS Office
  • Previous experience of related software is highly valued.
  • Experience in similar positions with an international organization, with United Nations Agencies and/or humanitarian context will be positively valued.
  • Willingness to learn and understand the nature of the work carried out by the NRC.
  • Sensitivity and interest in social issues
