RESPONSIBILITIES
General Responsibilities:
- Ensure adherence to NRC policies, tools, manuals, guidelines
- Support with the implementation of the logistics function portfolio in accordance with the Action Plan.
- Provide logistics administration and basic support.
- Prepare and develop status reports as required by management
- Ensure the correct presentation of all supporting documents
- Assist in the planning and delivery of logistics activity.
- Maintain logistics, suppliers and equipment records.
- Promote and share ideas to improve the logistics function.
- Perform other duties, as assigned by the Line Manager
Specific Responsibilities:
- Daily review of electronic billing email
- Acceptance or rejection of invoices received, in a period of no more than 24 calendar hours
- Distribution of invoices received from the Country Office operation, according to the purchase order referenced in the invoice
- Provide periodic feedback to suppliers on NRC billing policies (billing cut-off dates, requirements for sending invoices, among others)
- Respond to suppliers’ requests regarding the status of receipt and payment of their invoices
- Performs monthly reconciliation of the Operation’s electronic billing portfolio and reports news
- Uploading of the billing received to the Country Office Verification Sheet
- Manage tool for monitoring and controlling billing received
- Cconsult and support market research and provide estimated prices.
- Verify the accuracy of invoices against orders/contracts/agreements and track partial deliveries.
- Support the supplier prequalification process: File legal documents and verify prequalification compliance in accordance with NRC guidelines.
QUALIFICATIONS
Professional skills:
General professional skills:
- Previous work experience through internship or university practice.
- Experience working in accounting or administrative functions in humanitarian aid contexts.
- Previous experience working in complex and changing contexts.
- Verifiable experience related to the responsibilities of the position.
- Some knowledge of the English language.
Specific skills, knowledge and experience of the context:
- Technician, Technologist or student from the 5th semester onwards with studies in Public Accounting, Business Administration or similar.
- Technical or technological studies in accounting and finance
- Experience in accounting issues
- Administrative management experience
- Some support management experience preferred in humanitarian contexts.
- Knowledge in Supply Management – Supply Chains.
- Knowledge of using MS Office office utilities (Word, Excel, Power Point, Outlook, Power BI,).
