RESPONSIBILITIES

General Responsibilities:

  1. Ensure adherence to NRC policies, tools, manuals, guidelines
  2. Support with the implementation of the logistics function portfolio in accordance with the Action Plan.
  3. Provide logistics administration and basic support.
  4. Prepare and develop status reports as required by management
  5. Ensure the correct presentation of all supporting documents
  6. Assist in the planning and delivery of logistics activity.
  7. Maintain logistics, suppliers and equipment records.
  8. Promote and share ideas to improve the logistics function.
  9. Perform other duties, as assigned by the Line Manager

Specific Responsibilities: 

  1. Daily review of electronic billing email
  2. Acceptance or rejection of invoices received, in a period of no more than 24 calendar hours
  3. Distribution of invoices received from the Country Office operation, according to the purchase order referenced in the invoice
  4. Provide periodic feedback to suppliers on NRC billing policies (billing cut-off dates, requirements for sending invoices, among others)
  5. Respond to suppliers’ requests regarding the status of receipt and payment of their invoices
  6. Performs monthly reconciliation of the Operation’s electronic billing portfolio and reports news
  7. Uploading of the billing received to the Country Office Verification Sheet
  8. Manage tool for monitoring and controlling billing received
  9. Cconsult and support market research and provide estimated prices.
  10. Verify the accuracy of invoices against orders/contracts/agreements and track partial deliveries.
  11. Support the supplier prequalification process: File legal documents and verify prequalification compliance in accordance with NRC guidelines.

QUALIFICATIONS

Professional skills: 

General professional skills: 

  1. Previous work experience through internship or university practice. 
  2. Experience working in accounting or administrative functions in humanitarian aid contexts.
  3. Previous experience working in complex and changing contexts.
  4. Verifiable experience related to the responsibilities of the position.
  5. Some knowledge of the English language.

Specific skills, knowledge and experience of the context: 

  1. Technician, Technologist or student from the 5th semester onwards with studies in Public Accounting, Business Administration or similar. 
  2. Technical or technological studies in accounting and finance
  3. Experience in accounting issues
  4. Administrative management experience
  5. Some support management experience preferred in humanitarian contexts. 
  6. Knowledge in Supply Management – Supply Chains. 
  7. Knowledge of using MS Office office utilities (Word, Excel, Power Point, Outlook, Power BI,).
