Tasks and responsibilities
The incumbent will lead the following general tasks:
• Assist the Operations coordinator in managing all resources and facilities based in the office or at project intervention sites
• Ensure compliance with FAO administrative procedures for the necessary documentation for the smooth operation of projects implemented in the Country.
• Maintain financial records and office monitoring systems.
• Manage funds for advances; reconcile expenses, balances, payments, and other data for daily transactions and reports; administer the project’s petty cash fund; monitor project accounts for which responsibility is assigned and assist in the necessary calculations for periodic funding requests.
• Complete all necessary documentation for missions and field trips for all project personnel or invited guests (Tas, TECs).
• Organize the administrative archive of the projects and maintain the necessary material and technical supplies for the normal functioning of the office.
• Maintain constant communication with the Project’s Administrative/Financial personnel and receive necessary guidance for the smooth operation of the projects.
• Keep records and inventories of the assets and properties of the projects.
• Execute precise and updated actions regarding operational requirements for personnel, equipment, material and equipment acquisitions, and field disbursements.
• Verify purchasing and contracting processes according to FAO procedures established in Manual 502, such as: requesting quotations, preparing comparative tables, and generating purchase orders in GRMS.
• Keep a record of project input sheets to ensure compliance with FAO-approved technical specifications.
• Process requests for the registration of new suppliers in the FAO system.
• Ensure logistics for workshops, meetings, forums, and other events within the FAO’s work agenda.
• Coordinate the transportation and delivery of inputs acquired from suppliers to the final implementation areas of the project.
• Participate in the preparation of annual procurement plans for Representation projects.
• Contribute to the preparation of management reports based on the monitoring of times and processes of the procurement team.
• Perform other activities that may be necessary within your area of operations at FRANG.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• University degree in sciences, administration, agriculture or related areas
• Working knowledge of English, French or Spanish
• At least 3 years of relevant experience in programme/operations area, including hands-on experience in analysis, planning, monitoring and evaluation of development projects and establishing relationships among partners.
