Overview of position |
Ensure that all the data received or sent from various sources are properly checked, analysed & recorded. In turn produce the required output at all times in accordance with the established procedures, normative guidelines as set in the Logistics Fleet Manual. |
Role objectives |
Under the direct supervision Head of Fleet & System Administration Officer & in coordination with FMS Staff, the incumbent shall perform the following duties:
- Ensure that any information / data or reports requested are properly carried out & expedited in an efficient manner.
- Perform software checking routines established & ensure all the data is downloaded in the system is accurate & take the necessary steps to resolve any irregularities.
- Responsible to ensure that all data produced in the system is accurate & always sent & received on a timely basis & to report any irregularities to immediate supervisor.
- Consolidate all findings & to convert these conclusions reached into useful format.
- Will perform daily reconciliation exercise of all records & transaction performed.
- Share experiences gained with other staff members & strive towards creating good team building & harmonious atmosphere.
- Will perform the duties of all sub ordinate staff or one level / grade up, in the event of any other FMS staff being absent from his or her duty.
- Assist in training of fleet staff or FMS when required.
- Travel occasionally, as required by the organisation.
- Perform any other duties as requested by immediate supervisor.
Constantly collect & collate useful data which can be used to improve the general systems established & communicate this information to immediate supervisor such as:
- Possible system constraints.
- Common errors reoccurring, possible training needs.

This role reports to the Workshop & Supply Chain Managers. |
Key competencies |
- University degree in computer science / statistics.
- Comprehensive understanding & good working knowledge with database.
- Good working knowledge with complete Microsoft Office suite.
- Extensive experience gained using a computerised Fleet Management System (FMS), preferable although not a requirement.
- Held the positions of Statistics / Data Analysis Administrator or similar job in a company / NGO with at least 2 years’ experience gained in the relevant field.
- Experience gained in logistics & fleet field considered as asset.
- Excellent command of English, both written & spoken is mandatory.
Performance criteria:
- Constantly monitor & analyse data to ensure that it is accurate & provided on timely basis from each of the area office.
- Ensure that any data / information or reports requested are promptly provided & expedite in an efficient manner.
- Send / receive transmission on a daily basis as set by immediate supervisor.
