 The Purpose of the Role

The Programme Officer is responsible for assisting UK programmes delivery by providing stakeholder engagement, monitoring and administrative support.

Key Working Relationships:  

 Position reports to the Head of UK Programmes and will work closely with the REP Project Manager, Economic Empowerment Manager, Integration Project Manager, Education Manager, Community Engagement Officer, Grants and Partnership Manager and Monitoring, Evaluation and Learning Officer.

KEY RESPONSIBILITIES: 

Partner and Client Engagement: 

–    Support partnership mapping process and outreach with the Grants and Partnership Manager, including leading the partner due diligence process, support in subgrant and subcontracts processes and partner monitoring.

–    Support partner and client engagement through management of enquiries via the email inbox and maintaining and monitoring online enquiries to IRC client facing webpage.   

–    Support participant engagement through arranging and facilitating online information and training sessions. 

–    In coordination with staff, support the development and distribution of an eNewsletter to generate engaging content that promotes RAI activities and keep subscriber mailing list up-to-date;

–    Support the organisation of training sessions delivered by UK Programme teams by arranging suitable dates for delivery, and where necessary engaging effectively with participants before and after the session;

 Administration and Logistics:  

 –    Manage the programme activity calendar, compiling all project opportunities for engagement, sharing with communications, fundraising and other interested teams.

–    Plan the logistics of internal and external visitors to the UK programme including meeting and site visit scheduling.   

–    Lead in the organisation of in person and online events run by UK Programmes teams including researching and liaising with venues and caterers, booking client travel, gathering necessary client documentation and planning agendas, in coordination with Supply Chain Assistant ensure participants receive programme resources in a timely manner.   

–    Support the coordination of the client advisory board including meeting scheduling and liaising with HR to ensure correct procedures are in place.

–    Work with the Community Engagement Officer to develop a community volunteer programme, lead the operational components of the programme including liaising with HR on developing internal processes

 Programme Monitoring:  

 –    Support Programme staff in their collection and recording of client data, including collating client feedback and distributing pre and post client assessments.  

–    Support the work of the Monitoring, Evaluation and Learning (MEL) Officer including reviewing client data and organising focus group discussion logistics. 

–    Monitor data quality of the Customer Relationship Management (CRM) system of UK RAI together with MEL Officer, which includes conducting spot checks to ensure data collected is in accordance with the CRM SoP guidance and IRC’s Global M&E standards, and taking steps to address any issues.

–    Support UK RAI transition to the CRM, collating project data for batch-upload and supporting CRM trainings and staff onboarding into the system

–    Gather supply chain, admin and outside department updates (e.g., media, digital, P&A) relating to donor reporting for UK RAI

 Demonstrated skills and competencies:  

 –     Positive, forward looking and able to work well in a team orientated environment. 

–     Excellent organisational skills. 

–     Experience with event or training planning. 

–    Solid experience with Microsoft Office Word, PowerPoint and Excel.

–    Experience using word press or a similar website development platform. 

–    Strong attention to detail (excellent proofreading and editing skills). 

–    Ability to handle multiple priorities and work well under pressure with multiple deadlines. 

–    Excellent oral, written and interpersonal skills with evidence of ability to efficiently 
engage with a wide range and level of staff and organisations. 

–    Language skills – fluent in written and spoken English.

 Essential:

 –    Excellent written and oral communication skills: the ability to communicate effectively with colleagues, partners and clients.

–    Solid diplomatic and networking skills: the ability to effectively manage a variety of internal and external relationships; 

–    Ability to handle confidential documents and sensitive information; 

–    Proficiency in using Microsoft Officeexperience leading meetings or trainings via online platforms such as Microsoft Teams, Zoom, Skype;  

–    Solid organisational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines; 

–    Ability to work as part of a team;
