Duties and Responsibilities

With a focus on supporting HDRO’s substantive work, the Analyst will offer organizational coordination to the HDRO research and statistics teams, ensuring efficient workflow in coordination with other HDRO teams (production, communications, operations) and interacting with wide range of external partners. The Analyst will undertake the following activities:

Organizational support to HDRO research and statistics team. This includes, but is not limited to:

  • Provide overall organizational support to the HDRO research team, tracking workstreams and keeping records of key dates and deadlines across different workstreams
  • Maintain up-to-date mailing list for National Statistical Offices (NSOs) and filing systems for correspondence and other documents handled or addressed to the  team.
  • Preparation of appropriately formatted external correspondence, letters, invitations, documentation including basic lay-out and photocopying, manage HDRO mailing groups and redirects correspondence and inquiries addressed to the team.

Knowledge Management Support and Tracking of HDRO’s consultative & outreach processes. This includes, but is not limited to:

  • Support the implementation of effective knowledge management processes for the HDRO research team, keeping records of HDRO’s consultative and outreach processes and its results.
  • Timely follows up on routine actions and deadlines of activities involving the team input.
  • Provide sound contributions to knowledge networks and communities of practice.
  • Ensure effective internal communications and keep office calendar up to date.

Support and coordinate background research projects. This includes, but is not limited to:

  • Work with research and statistics team to implement effective processes for the procurement and management of background papers and background research, research and statistics consultancies, and internships
  • Prepare negotiations, Purchase Orders (PO) in ERP, Create supplier profiles in ERP.
  • Liaise with external partners and team members, follow up on contracts for consultants and vendors and ensure timely payments.
  • Support the team in preparing longlist of consultants for selection by supervisor, develop and upkeep of roster of suppliers and to extent possible LTAs.

Logistic and administrative support to events and consultative meetings contributing to HDRO’s substantive work. This includes, but is not limited to:

  • Liaising with external/internal partners contributing to the HDR through support to the logistical planning and preparation of consultations, seminars and other events organized by the Research and Statistical Teams. This entails being the focal point for the logistic arrangements of themeetings (New York and elsewhere). Drafting basic correspondence and sending invitations, follow -up with invitees regarding their participation, including travel arrangements identifying and reserving appropriate venue, arranging catering, technical support for presentations, etc.
  • Liaising with relevant partners through drafting and sending invitations to participants, timely documents circulation and follow-up to enable timely feedback and input to the HDR under preparation; supports the convening of internal consultations and seminars.
  • Arrange logistical support toother events organized for the preparation of HDR and act as focal point for  logistic arrangements of seminars and meetings, interagency consultations, special expert meetings, workshops or in-house meetings organized throughout the year.
  • Arrange appropriate travel arrangements for invited external participants to meetings and events –as well as other team-selected contributing researchers, designers and other contractors, as instructed, in consultation with HDRO Operations unit, Travel Section and Travel Agent; initiate follow-up action to expedite such travel or troubleshoot any problems, as and when needed

Institutional Arrangement

Under the overall guidance of the HDRO Research & Strategic Partnerships Advisor and the Chief Statistician, the Analyst provides organizational, administrative, and communications support, and the execution of varied and inter-related coordination, operational and logistical activities. The Analyst maintains knowledge management processes and tracks HDRO’s consultative and outreach processes, facilitates internal organization and communication, supports the implementation of events, and organizes and supports procurement processes for background papers.

The Analyst promotes a client, quality and results-oriented approach while supporting various teams of the HDRO. UNDP adopts a portfolio approach to accommodate changing business needs and leverage linkages across interventions to achieve its strategic goals. Therefore, UNDP personnel are expected to work across units, functions, teams, and projects in multidisciplinary teams in order to enhance and enable horizontal collaboration.

Required Skills and Experience
Min. Academic Education
  • Advanced University Degree (Master´s degree or equivalent) in Business Administration, Public Administration, Communications, or related field is required, or
  • First-level University Degree (Bachelor´s degree) in combination with additional 2 years of qualifying experience will be given due consideration in lieu of Master´s degree.
  • Project Management Certifications and Certifications in Administration and Procurement are desirable.
Min. years of relevant Work experience 
  • Up to 2 years (with Master´s degree) or minimum 2 years (with Bachelor´s degree) of relevant working experience in organizational coordination, project management, internal communications, or equivalent.
  • Experience working in research project coordination is desirable
  • Experience organizing and implementing public and private events, workshops, conferences, trainings, seminars and/or high-level meetings is desirable
  • Experience working in an international organization is desirable

  • Excellent organizational skills and high attention to detail
  • Great written and verbal communication skills, with experience in working with internal communication processes
  • Good understanding of event management and meeting organization
  • Well-versed in the use of computers, office software packages (MS Word, Excel, etc.), data packages, and web-based management systems such as ERP.
