2. Expected functions/results

Under the general supervision of the General Services Manager, the driver will perform the following tasks:

  • Providing efficient and safe driving services
  • Ensure proper use of the organization’s vehicles
  • Maintain and keep the assigned vehicle clean on a daily basis 
  • Check the availability of complete vehicle documents and tools 
  • Ensure the provision of efficient and safe driving services by (i) driving UNDP Office vehicles for the transport of the UNDP Regional Coordinator as well as other members of the Directorate both in the city and within the country , (ii) distribute and collect mail, documents and other items upon request (ii) Welcome, accompany official staff to the airport and assist them with travel formalities if necessary.
  • Ensure the proper use of the vehicle by ensuring the efficient and accurate maintenance of daily monitoring sheets, and the recording of data to facilitate the planning of repairs and related reports.
  • Ensure proper and regular maintenance of the vehicle by following up on time for small repairs, checking the oil level, checking tires and brakes, washing, etc.   
  • Ensure the availability of all documents and tools required for the vehicle (insurance, tracking sheet, personnel directory, road map of the city/country, first aid kit, necessary tools and spare parts).
  • Ensure that all urgent actions required by the rules and procedures are taken in the event of accidents (accident report, insurance declaration) and reported to the hierarchical superior without delay .

 Operational efficiency

  • Ability to perform a variety of repetitive and routine tasks; 
  • Ability to review data, identify and resolve discrepancies and manage a large volume of work, under time constraints and establishing priorities;
  • Good knowledge of administrative rules and regulations as well as excellent knowledge of driving rules and skills in minor vehicle repairs:
  • Ability to operate and maintain a variety of office IT equipment in order to provide efficient delivery of services;
  • Good knowledge of protocol and security issues and instructions in the country

Data management  

  • Carefully and methodically collects, verifies and records data demonstrating attention to detail and identifying and correcting errors on own initiative.
  • Interprets data, draws patterns, and/or identifies conclusions that support the work of others.

Document management, correspondence and reports

  • Creates, edits and presents queries and reports, documents in clear and presentable format in the form of a document or table using word processing and/or spreadsheet.

Planning and organization

  • Organizes multiple tasks by establishing priorities taking into account special assignments, frequent interruptions, deadlines, available resources and multiple reporting relationships.
  • Plans, coordinates and organizes workload while remaining aware of changing priorities and competing deadlines.

Establishes, builds and maintains effective working relationships with staff and clients to facilitate the provision of support.

3. Institutional arrangement:

The driver will be recruited by UNDP Senegal and will be part of the General Services Support team. He/she will work under the direct supervision of the Procurement & Admin Associate. Key results impact the delivery of office services and the efficient and safe use of office property. They also have an impact on meeting the deadlines of the agenda of the people being led.

5.    Minimum Qualifications of the Successful NPSA

 

Min. Academic Education
  • Secondary studies
  • Valid driving license.
Min. years of relevant professional experience
  • 2 years minimum of professional experience preferably in an international organization, embassy, ​​NGO, ministries/directorates/national administrative structures

 

Required skills and competencies
  • Excellent knowledge of the highway code, good driving behavior and road safety standards
  • Familiarity with the use of HF/VHF radio
  • Solid knowledge of automobile mechanics
  • Good understanding of the geographical location of Dakar
  • Good knowledge of security measures and protocol

 

Additional skills and competencies desired
  • Mastery in the use of Quantum
Required language(s) (at professional level)
  • Fluency in French and a local language
