Job Description:

As the Administrative and Finance Officer for our DICs, you will be responsible for managing administrative tasks and financial operations to ensure the smooth functioning of the project. Your role will involve overseeing financial transactions, budget management, procurement, and general administrative support to enable the effective delivery of services within the DICs.

Key Responsibilities:

  1. Financial Management:
  • Manage financial transactions, including accounts payable, accounts receivable, and payroll processing.
  • Maintain accurate financial records and ledgers, ensuring compliance with organizational policies and accounting standards.
  • Prepare financial reports, budgets, and forecasts to monitor project expenditures and financial performance.
  1. Budget Planning and Monitoring:
  • Assist in the development and monitoring of project budgets, including revenue projections and expense forecasts.
  • Track project expenditures and variances against budget allocations, identifying areas for cost savings or reallocation of funds as needed.
  • Provide regular updates and reports to project management on budget status, financial risks, and opportunities for optimization.
  1. Procurement and Contract Management:
  • Coordinate procurement activities, including vendor selection, contract negotiations, and purchase order processing.
  • Maintain inventory records and oversee the acquisition and distribution of supplies, equipment, and materials for the DICs.
  • Ensure compliance with procurement policies and procedures, including competitive bidding processes and documentation requirements.
  1. Administrative Support:
  • Provide general administrative support to project staff and stakeholders, including scheduling meetings, managing correspondence, and maintaining project documentation.
  • Serve as a point of contact for inquiries from internal and external stakeholders, addressing questions and concerns in a timely and professional manner.

Qualifications:

  • Bachelor’s degree in finance, accounting, business administration, or related field required
  • Proven experience in financial management, budgeting, and procurement, preferably in a non-profit or public sector setting
  • Strong analytical skills and attention to detail, with the ability to interpret financial data and trends effectively.
  • Proficiency in accounting software and Microsoft Office applications, particularly Excel and Word.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

Effective communication skills, both written and verbal, with the ability to collaborate with diverse stakeholders.

Job Requirements:
