Terms of Reference
1. General Background
The Private Sector Partnerships Service (PSP) sits within UNHCR’s Division of External Relations (DER) and is responsible for mobilizing resources for displaced persons from the private sector. UNHCR has developed its Private Sector Fundraising Strategy 2018-2025 which had the ambition of growing PSP into a service capable of generating $1 Billion. This ambition was achieved in 2022 and now the organization is developing its new engagement strategy that will move its private sector fundraising towards $2 billion annually. As well as seeking an increase in funding, UNHCR will aim to become the partner of choice by diversifying and expanding how it works with private sector organizations and individuals.
As part of this strategy, and to achieve the ambitious objectives of mobilizing necessary resources for UNHCR, PSP’s Private Partnerships and Philanthropy (PPH) Section develops and strengthens long-term partnerships with companies, foundations, philanthropists (PPH partners). As part of a wider fundraising team, the primary role of PPH staff members is to seek various forms of support from PPH partners: securing funding for UNHCR programmes and projects will be considered priority, but the work also includes leveraging other capacities of these partnerships beyond funding, in order to build impactful and holistic partnerships bringing various forms of support to displaced persons and UNHCR, such as advocacy, visibility, expertise, innovation, services, public engagement, and education/ livelihoods opportunities for refugees.
We are seeking a dynamic and proactive team player, with a strong interest in fundraising, to become a steady and reliable asset to the PSP Africa PPH team. The Assistant PPH Officer will be responsible for supporting all PSP Africa PPH markets with managing their prospect and donor pipeline, including support with proposal writing and market research to provide intelligence that informs PPH initiatives.
This position, based in Nairobi, offers a unique opportunity to work within PSP Africa which is dedicated to raising funds and establishing partnerships for UNHCR with the private sector in Africa. The person that fills this role will enable PSP Africa’s PPH team to achieve their resource mobilization objectives, for
the support of displaced persons and host communities across the continent.
2. Purpose and Scope of Assignment
Under the supervision of the Senior PSP Officer, and as delegated by the supervisor, the Assistant PPH Officer will be responsible for supporting PSP Africa PPH teams with maintaining oversight and expansion of their corresponding donor pipelines, including support with activities relevant for the acquisition and stewardship of partners, considering relevant local context and philanthropic landscape. This includes the following key activities:
1. Drafting: Support the preparation of pitches, presentations, proposals, reports, concept notes, and any other fundraising and partnership materials customized for PPH donors, including companies/ businesses, foundations, and individuals.
2. Pipeline management: Support the management of existing partnerships, e.g., by helping to draft donor reports, plan donor missions, or other tasks necessary to ensure that relationships are appropriately nurtured.
3. Research: Support the team, when necessary, with desk and market research to provide background information to help design fit-for-purpose PPH initiatives and donor/partnership approaches and proposals.
4. Events: Support on the logistics for internal and external events, including skill-shares.
5. Admin: When needed, and in collaboration with administrative colleagues, support PPH colleagues with procurement, administrative, and travel matters.
6. Internal communications: Help to update content on PSP’s SharePoint platform, to improve internal communications, and to maintain a regular flow of information with colleagues within and outside PSP.
7. External communications: Support the delivery of communications and visibility plans with PPH donors. This can include helping to gather and collate data/information on various topics and for specific audiences, to organize the logistics of content-gathering missions and to prepare communications materials.
8. Information management: Support PPH colleagues with information management and knowledge-sharing, through the collation and dissemination of documents and data pertaining to partnerships and philanthropy.
9. Database: Support the maintenance of up-to-date records of partnerships and relationships. This might include helping to keep track of income raised, keeping internal calendars and plans updated, and supporting on data entry and maintenance on Salesforce.
10. Budget: Support with monitoring and tracking fundraising expenditures and targets, to ensure strategic investment in fundraising activities yielding a positive Return on Investment (ROI) and social impact on the lives of refugees, IDPs, and host communities.
11. Coordination: ensure full coordination with relevant internal stakeholders.
12. Any other relevant arising duties as requested by supervisor.
3. Monitoring and Progress Controls
• Always maintain an updated pipeline and contribution records of PPH prospects and partners.
• Always maintain an updated tracking system of contributions and fundraising expenditure.
• Timely preparation of well-crafted reports, pitches, proposals, and presentations.
4. Qualifications and Experience
a. Education
Undergraduate Degree; Graduate Degree; or Doctorate Degree, preferably in one of the following areas: Sales, Marketing, Communications, Journalism, International Relations, Economics, Business Development/Administration/Management, Social Sciences, Psychology
b. Work Experience
1-year relevant experience with Undergraduate Degree; or no experience with Graduate Degree; or no experience with Doctorate Degree. When required, experience must be in one of the above-mentioned education fields, and experience in fundraising, resource mobilization, and proposal writing is an asset.
