ORGANISATIONAL CONTEXT:
This job is based at the World Food Programme (WFP) China Office in Beijing, China. WFP has a unique threefold presence in China, which includes: a Partnership Office presence that develops public and private partnerships for increased resource mobilization; a Country Office presence that implements a Country Strategy Plan supporting China’s High Quality Achievement of the 2030 Sustainable Development Goals, and a Centre of Excellence for Rural Transformation that facilitates impactful, demand-drive South-South and Triangular Cooperation.
This position reports to the Senior Business Support Associate (Corporate Partnerships). Under minimal supervision, the incumbent is expected to produce organised and accurate work, undertaking digital media business support activities.
JOB PURPOSE:
To deliver standard business support processes for the related work of the Private Partnerships Unit, to facilitate effective service delivery.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
- Provide coordination, administrative and specialised services to support staff in the development, preparation, and execution of communications activities for target audiences.
- Under clear guidance, contribute to the production of social media assets for public awareness campaigns to enhance coverage and support of WFP’s activities, ensuring consistency with corporate messages and standards.
- Support the creation, editing, and publishing of digital content (including graphics, short videos, infographics, and web articles) for WFP China’s official online channels, ensuring brand consistency and high engagement.
- Liaise with printers concerning brochures and publications published by the office.
- Regularly monitor traditional and social media and report relevant information to senior staff to inform the development and/or evaluation of communications activities.
- Assist in scheduling, publishing, and monitoring social media posts across platforms, and compile analytics reports to inform content strategy.
- Distribute press statements and similar information to media outlets.
- Respond to a variety of queries and requests from WFP China Functional Unit, following standard processes and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries.
- Liaise with WFP staff and the media in a timely manner to support aligned activities and an effective approach to communications within WFP.
- Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
- Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
- Maintain relationships with a range of individuals through provision of business support to assist in information sharing and service delivery to staff.
- Manage and maintain records and databases, to ensure information is organised and readily available for staff.
- Assist in the maintenance and updating of WFP China’s photo and video library, ensuring proper metadata tagging for easy retrieval and future use.
- Provide help and support for any other duties whenever required.
KNOWLEDGE & SKILLS:
• Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
• Knowledge of work routines and methods in order to complete processes under minimal supervision.
• Uses tact and courtesy to give and receive information to a wide range of individuals.
• Ability to identify data discrepancies and rectify problems requiring attention.
• Ability to offer guidance or basic on-the-job training to more junior staff.
STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:
Education: Completion of university degree in the relevant area.
Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Language: Fluency in both oral and written communication English and Chinese is required for this position.
