Job Title: Business Support Assistant (BSA)

Level: SC5

Duty Station: Pibor Field Office

Organizational Context and Role:

The Field Office is the location of the Business Support Assistant employment, and the Head of the Field Office is usually the person to whom employees report. Work is done with little oversight at this level. Technical work and reports must be accurate and well-organized by the jobholder. They might advise colleagues and other employees in their field on best practices. At the Field Office, he or she will be in charge of all financial, administrative, and human resources duties.

Job Content:

 

  • Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
  • Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
  • Support processing and managing routine administrative, HR and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
  • Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
  • Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  • Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
  • Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
  • Provide guidance on routine business support methods and practices to junior colleagues.
  • to ensure services are delivered consistently and to the required standards.
  • Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
  • Facilities management and supervising the work of cleaning service providers for office and guest house.
  • Management of transport/fleet units (vehicles maintenance, drivers’ schedules, etc).
  • HR management (overtime, attendance and leave management)
  • Travel management.
  • Prepare draft monthly Cash float for HoFO’s review and endorsement.
  • Monthly Financial reports for Cash, Fuel, Overtimes, and bills.
  • Prepare and submit Cash request for Police Incentive Payment
  • Ensure supervision of activities undertaken by service providers (financial, cleaning, security, utility, maintenance and repair); and liaise with CO Admin, Engineering and Finance units to prepare payments per MoUs and agreements.
  • Process procurement requirements for MPOs.
  • Prepare, review and post fuel consumption documents for Admin processes.
  • Prepare all fuel requests for HoFO’s approval.
  • Attend to any other financial, admin and HR related duties as assigned.

Requirements:

Education:

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience:

Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge

& Skills:

  • Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
  • Ability to carry out basic data analysis and independently rectify problems requiring attention.
  • Ability to monitor and record financial transactions.
  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to maintain confidentiality.

Language:

General Service (Headquarters): Fluency (level C) in English language. Fluency (level C) or intermediate knowledge (level B) of another official language may be required depending on the location of the post or area of responsibility.

 

General Service (Field): Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.
