Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Finance and Administration Assistant.
About the Job
Responsible to carry financial and administration tasks to respond to the needs of program and technical departments, and to support field offices finance and administration teams while building their capacity in Kahramanmaras / Turkiye.
Geographic scope: Country (Turkey)
This role has a country focus and ensures compliance to DRC procedures and guidelines within the country. The role contributes to the development of country strategies, which are translated into action plans and day-to-day tasks. The role provides support and/or technical guidance to country operations while overseeing country activities.
Duties and Responsibilities:
Financial support
Verify that purchases have appropriate authorization and are signed by authorized team
member.
Provide technical financial and administrative support to field staff.
Support in the implementation of financial policies and procedures.
Ensure transactions are properly recorded and entered into the appropriate accounting system.
Maintain financial files and records.
Maintain the contract follow up on a monthly basis, and make sure all contracts are renewed,
closed, or/and paid on time.
Scanning and filing relevant financial documents including supporting documents
Correctly use DRC Dynamics functionalities in area of concern.
Cash control
Complete the cash book on a daily-bases.
Act as cashier for payments to be processed and carry out cash distributions to the
beneficiaries
Monitor cash transfers and payments.
Prepare monthly cash requests with field team and prepare weekly cash reports.
Facilities Office management
Ensure all office infrastructures are appropriate, safe and functioning (i.e. security system, health and safety, communications, etc.)
Oversee all aspects of office maintenance and cleanliness.
In conjunction with the safety team, ensure safety and security issues for the general security of the office.
Ensure insurance plan is in place for all office buildings and equipment, and updated at all times.
Maintain and update lease agreements and coordinate the renewal of leases for office premises, guesthouse and expatriate housing. Act as the focal point for liaison with landlords.
Coordinate handover of leased properties and ensure security deposits are refunded on timely basis.
Ensure repairs and maintenance of facilities in compliance with DRC standards and procedures.
Manage the administration team to ensure overall efficiency.
Ensure the safety and security of the premises and report to STL or Area manager and Safety and Security Coordinator.
Guesthouse management
Management of the guesthouse ensuring all infrastructures are safe and functioning.
Oversee all aspects of upkeep and cleanliness at the guesthouse.
Ensure guesthouse stocks and supplies are in place, and monitor their utilization.
Ensure the Guesthouse Handbook is updated on regular basis, and available at the guesthouse.
Act as focal point for guesthouse and expatriate houses, liaise with property landlords on any matters arising. Oversee repairs as required.
Administrative support
Ensure all utility payments are done on timely basis.
Ensure meetings for the senior management team are organized and other administrative support as may be required.
Act as backup to the Travel Officer.
Supporting administrative liaising tasks with governmental entities
Any other duties as requested by STL or Area Manager.
Reporting
Assist with collecting, reviewing, correcting and filing all financial progress reports from the partners
Support financial report preparations
Submit progress and status reports.

About you
To be successful in this role, you must have a university degree in Business Administration, Finance or similar – or equivalent professional qualification.
Moreover, we also expect the following:
Required qualifications
Minimum 1 year’s work experience with an international NGO or UN Agency
Proficient use of MS Office, with advanced Excel proficiency, such as using pivot tables, developing
macros, etc.
Advanced English proficiency
Fluency in Turkish language
