Job Summary

The main purpose of this position is to oversee that UNDP Guest House activities are running smoothly on a day-to-day basis, quality services are provided, guests are satisfied, and their feedback is taken into consideration, required improvements are identified and undertaken, and support staff are well supervised.

Duties & Responsibilities

Guest House Management

– Plan, implement, manage, and monitor day to day activities required for the operations of the UNDP Guest House

– Conduct routine inspections of Guest House and its equipment for its functionality, appearance and cleanliness and ensure assigned rooms are prepared prior to check-in

– Ensure maintenance and renovation plans are in place for the Guest House facilities and equipment, and implemented in a timely manner

– Inspect facilities regularly and enforce strict compliance with health and safety regulations

– Ensure Guest House accommodation units are always clean and tidy, and cleaning schedules are implemented in consultation with the Administration Unit

– Oversee the quality of cleaning by cleaners as per the cleaning schedule by following weekly cleaning evaluation form

– Work in coordination with the Administration Unit, to put in place a mechanism through which to receive and address the guests’ complaints, enquires, comments, and recommendations.

Guest House Support Staff Management

– Ensure work schedules and leave plans for the support staff are in place and regularly reviewed by the Administration Unit for any changes required

– Supervise UNDP Guest House supportive staff and monitor their performance on daily basis and report any positive and negative (misconduct, poor performance or negligence) as aspects of performance to the Administration Unit

– Complete mandatory performance evaluations for each cleaner at a minimum (meets expectation) rating basis, with documented feedback, in coordination with the Administration Unit

– Manage and track support staff leave entitlements/requests

– Build up and maintain good communication and relationship with the support staff

Guest House Asset and Inventory Management

– Manage and track the Guest House resources and stocks and make sure enough items and appliances, in working condition are available

– Work with the Administration Unit to develop the procurement plan for the village, reflecting the asset and inventory needs

– Ensure sufficient stock of inventory is available

– To make sure the materials and supplies are distributed based on the expiry dates, or first in, last out (FIFO)

– To have a proper filing system for Stock Distribution Request Form and database to assure the stock card is up to date.

 

Guest House Administration

– Ensure accurate and on-time submission of all reports (stock management and maintenance progress) on monthly basis to Administration Unit

– Update the inspection tracker forms in each accommodation on monthly basis

– Process the support staff relevant administrative work

– Arrange the meetings and events, when required; and

– Perform any other task may be assigned by the direct supervisor.

Job Requirements

Skills

Language:

• Excellent written and oral English language as well as knowledge of local languages Pashto and/or Dari is required.

Qualifications

Academic Qualifications:

• A bachelor’s degree in business administration or Hotel/Hospitality Management or a related field.

Experience

Years of experience:

• 1-3 years of work experience in Hotel management or Guest House management, (i.e. INGO/NGO Guest House Management), General Administration or similar role is required in a service sector (for example in event management, banquet management etc.)

• Demonstrated experience in leading and managing a team of individuals from diverse backgrounds is required

• Experience in usage of computers and office software packages is required

• Knowledge of hotel management software (PMS) is an advantage

• Certification in hotel management is an advantage.
