Job Description
- HR-Assistant maintains employee data, including new hires, terminations, and other personnel data. This requires attention to detail and accuracy in record-keeping.
- Assist in coordinating recruitment activities such as posting job ads, screening resumes, scheduling interviews, conducting background checks, and making job offers.
- Tracking the national staff leave records and notifying Khost based staff of the status of their accrued used and unused annual leave and sick leave days.
- Assisting the HR Officer/ HR/Admin Manager during the staff PME processing
- Professionally Arrangement of documents in all HR Box files (Soft Copies).
- Arrangement and verification of personnel files and providing of all the required documents and putting these documents in a professional way.
- To ensure that all necessary documents be filled in by the staff member and present in the staff member’s personnel file.
- To make sure all personnel files are kept in a locked cabinet and that access to the personnel files are limited.
- Collecting of timesheets from all departments and verification of financial codes and leave record in timesheets.
- Responsible for front office operations and activities, this includes the switchboard, receiving/forwarding and registration of letters, mails, and pouches.
- Arrange delivery of mails to external organizations field office and ensure regularly and systematic check on IRC Box.
- Responsible for the office notice boards, positing of information, clearing old information, proper arrangement.
- Assisting in posting of job advertisements, receiving, and sorting applications when done on provincial based, ensure all applications are organized and cleanly maintained until the closing date of the relevant announcement.
- Assisting in maintaining personnel files. Ensure all relevant documents are filed in field office.
- Responsible for keeping update all personnel files.
- Responsible for receiving field offices request and processing those requests.
- Responsible for updating HRIS database and all other HR related tracking forms.
- Assist with day-to-day operations of the HR functions and duties.
- Carries out other relevant task as assigned by supervisor.
Qualifications
- Bachelor’s degree Holder in Business Administration, Economic or relevant.
- 1 to 2 years relevant experience in HR field is required.
- Excellent English and Dari/Pashtu
- Must have computer skills.
- Experience in working with international NGOs
- Good organizational and reporting skill
- Ability to work under pressure.
- Prior experience working in a multi-cultural environment is an added advantage.
