Duties and Responsibilities
Org. Setting and Reporting The United Nations Environment Programme (UNEP) is the United Nations systems designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. Under the supervision of the Senior Evaluation Officer, the incumbent will provide administrative support to the Evaluation Office (EOU) and will also provide administrative support for specific evaluations and be responsible for administrative and logistical services of the Office. Responsibilities 1. Administrative support a. Support the EOU Procurement Focal Point at their request and under their guidance. Support in the procurement of all office equipment for the EOU including IT equipment, office furniture, office supplies and consumables. Provide assistance, on request, in preparing scope of work and specifications of goods and services and identify and liaise with sources of procurement. Assist, under guidance, with procrement documents (e.g. Purchase Orders, Requests for Quotations, etc). b. Support the EOU IT Focal Point at their request and under their guidance. This includes supporting record keeping for all official equipment issued to EOU Staff, managing Security Gate Passes for IT equipment taken off-site, monitoring EOU usage and storage space on the EOU SharePoint / OneDrive, identifying ICT-related capacity needs; and facilitating the provision of specialized software on a needs basis. c. Support the EOU Security Focal Point at their request and under their guidance. Support record keeping of EOU staff contact details for security purposes and arrangements for access to the UNON compound for all offical external visitors to the UN compound. d. Support processes related to the EOU office space, equipment and services’ needs and support on all related matters. 2. Evaluation Function support a. Ensure that the format and presentation of evaluation reports are in-line with EOU requirements prior to their finalization. Ensure report filenames are correctly formulated and that evaluation reports are filed in the correct SharePoint locations. b. Disseminate finalized evaluation reports to relevant managers, respondents and stakeholders. c. Provide logistical support to Evaluation Managers, including setting up appointments for evaluators to conduct in-house interviews with UNEP staff, book meeting rooms for EOU staff or EOU consultants. Assist the Director and Senior Evaluation Officer in making appointments as required. d. Assist with ad-hoc tasks to support the evaluation function as and when required and at the request of the Senior Evaluation Officer. 3. Data Management and Reporting a. Assist with the development and maintenance of EOU databases/ applications that respond to data requirements in the office. b. Prepare data sets upon request and liaise with team members to collect and collate data, e.g. for the Biennial Evaluation Synthesis Report. Develop tools to automate manual data extraction and analysis, including forms, charts, and formulae, as required (e.g. dashboards). c. Assist in providing technical support for existing reports, databases, dashboards, or other tools, including conducting rigorous data quality checks on data collected and liaising with team members to resolve any inconsistencies in data or obtain additional information required. d. Assist in translating data results into written regular and ad-hoc reports or presentations to convey EOU information to management at the request of the Senior Evaluation Officer. e. Assist in data management and document generation efficiency tools to streamline internal processes and increase productivity. 4. Communication a. Assist in the public disclosure of finalized evaluation reports by uploading reports to the UNEP document repository, UNEG evaluation report database and other required platforms. b. Assist with the development and updating of content for the EOU’s pages in the UNEP’s internal and external platforms/websites for dissemination of information, including the production and editing of content for publication on social media platforms. c. Liaise between Evaluation Managers and other UNON/UNEP staff in support of the preparation of evaluation communication products. d. Provide specialized assistance in the production and delivery of internal and external information communication and learning resources products and services, including videos, briefs, social media posts, webinars, among others. Provide technical support with the use of applications for design and layout. e. Implement improvements to communications methods and practices, to contribute to a better flow of information about EOU’s work to the public and within UNEP.
Qualifications/special skills
Undergraduate studies in Environmental Management, Development Studies or International Policy. Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent) Proficiency in Microsoft Word, Excel and PowerPoint and demonstrable skills in organizing, methodical follow-up and tracking knowledge is required. Applicants must have good organizational skills, excellent attention to detail, confidence in the use of modern software and ICT platforms, resourcefulness, strong interpersonal skills, ability to work independently and in a team and the ability to establish effective working relations with others across gender and cultural barriers. Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required. Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship.
