The IRC opened its offices in Burundi in 1996 and initially focused on lifesaving interventions and providing immediate assistance to refugees and displaced persons. IRC Burundi now focuses on post-conflict interventions to support the country’s transition to lasting peace and stability.

IRC Burundi has a dynamic post-conflict program encompassing gender-based violence prevention and response, child protection, social cohesion, protection and the rule of law, economic recovery and development (ERD), and environmental health. Its clients are vulnerable and marginalized populations, including refugees, internally displaced persons (IDPs), returnees, and other vulnerable groups such as women, children, and youth. IRC works with the Burundian government, local partners, and international partners to enhance the protection, economic empowerment, and social cohesion of these groups. IRC’s main office is located in Bujumbura, serving as both headquarters and a base for programs in Bujumbura Rural and Bujumbura City Hall. Field offices are located in Muyinga and Ruyigi.

JOB DESCRIPTION

Under the direct supervision of the Senior Warehouse Officer, the Logistics Assistant will support the Supply Chain department in its daily activities. This includes assisting with inventory/warehouse management, fleet management (cars and motorcycles), collecting and verifying purchase documents on Docutrail, filing/archiving and securing logistics documentation, and monitoring the import/customs clearance process as needed, all in accordance with IRC procedures. The Logistics Assistant serves as backup to the Senior Warehouse, Assets, and Transportation Officer for all logistical matters.

In this capacity, he will lend his support to:

  • WAREHOUSE AND INVENTORY MANAGEMENT

  • He/She ensures that all stock movements are carried out transparently and well documented and that only IRC tools are used;
  • He/She participates in the development of supply plans for storage forecasts;
  • He/She ensures the proper maintenance and organization of IRC warehouses and stocks;
  • He/She ensures the receipt of items at the IRC warehouses and stocks;
  • He/She supervises the daily staff during loading, composition, inventory, etc.;
  • He/She collaborates with the Transport Manager to organize the receipt and movement of stock from one base to another;
  • He/She participates in the inventory of stocks in collaboration with department heads;
  • He/She ensures the daily updating of the various stock entry and exit tools as well as their archiving;
  • He/She prepares the monthly stock report;
  • He/She participates in the project’s stock monitoring operations, especially the monitoring of distributions, and related documents, inventories;

  • FUEL STOCK MANAGEMENT

  • Ensures the receipt of fuel at the IRC stockpile;
  • Ensure fuel distribution to IRC Assets according to the Fleet Assistant’s request approved by their supervisor;
  • He/She makes the classification relating to the purchase, receipt and distribution of fuel;
  • He/She ensures the proper archiving of documents relating to fuel management;
  • He/She participates in the preparation of the monthly fuel report;
  • Any other task assigned by the supervisor;
  • Ensure the transfer of fuel between IRC sites.

  • PURCHASING DOCUMENT MANAGEMENT
  • Collect and receive all purchase documents and classify them in real time;
  • Contact suppliers who have not submitted complete documents;
  • Prepare supplier payments on AP Voucher;
  • Electronic archiving on the Procurement portal and physical archiving of purchase files;
  • Closely monitor project supplies in collaboration with logistics and program staff;
  • Any other task assigned by the supervisor.

 

REQUIRED PROFILE

Key requirements

  • Have a university degree in a field of expertise related to logistics, administration or another field related to the position;
  • Have at least 3 years of professional experience in a similar position, ideally in the cooperation or humanitarian aid sector;
  • Excellent computer skills are required, particularly with Excel, Word and Outlook software;
  • Excellent verbal and written command of French;
  • Excellent writing skills in French;
  • Good verbal and written communication skills in English
