Job Description:
Position Title: Procurement/ Contracts Assistant

Job Summary
The Procurement/Contracts Assistant will provide critical support to the Procurement Department. The function of the position is both to facilitate efficient processes in support of designated tasks, goals and objectives, and to ensure the correct oversight and compliance of routine field-based procurements.
Duties and Responsibilities:
Procurement
Tasks:
- Work closely with the procurement staff to obtain resources, quotations and secure competitive bids for one time goods and services.
- Participate in activity work planning and proactively conduct market research in support of anticipated operations and technical needs.
- Prepare reports on the procurement implementation progress/status as required.
- Determine procurement method such as direct purchase or competition.
- The incumbent should be able to prepare REOIs/ RFPs/RFQs/Contracts and purchasing documents in accordance with the AUAF procurement regulations.
- Circulate procurement documents for processing and signature of relevant project staff.
Contracts:
Tasks:
- Monitor, track and expedite all procurement activities in collaboration with the Procurement Head.
- Facilitate preparation and submission of purchase orders in accordance to AUAF policies.
- Keep the procurement tracker updated on timely basis and provide a procurement status sheet to procurement manager on regular basis.
- Facilitate communication and follow-up documentation with vendors during the contract.
- Collection of all receipts, bills and invoices of the project from vendors and suppliers.
Administration
Tasks:
- Ensure all procurements comply with USAID and AUAF regulations, corporate policy and good commercial practices.
- Ensures that transparency and integrity is fully maintained in day to day procurement activities.
Job Requirements:
Required Qualifications:
- Bachelor’s Degree with 2 years’ experience in the related field or Baccalaureate degree with 4 years of experience.
- Ability to work with any ERP (e.g; Microsoft D365, Dynamic Great Plains).
- At least one year of relevant experience working with USAID/Federal funded programs is preferred.
- Demonstrated practical knowledge and understanding of procurement policies and procedures.
- Ability to work independently or as a team member.
Skills:
- English language proficiency (oral and written).
- Proficiency with Microsoft Word, Excel and Power Point.
