- At least five years’ work experience in the procurement of goods and services, supply chain and relevant fields.
- Demonstrated at least two years of inputs/ materials procurement-related experience with Livelihood Project.
- Experienced in procurement management.
- Proven experience as a procurement officer or in a similar role is a plus.
- Ability to work under pressure.
- Require skill in preparing report both in English and Bangla.
- Strong communication skills.
- Familiarity with procurement software/tools is an advantage.
- Strong analytical and problem-solving skills.
- Excellent communication and negotiation abilities.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Knowledge of procurement regulations and best practices is preferred.
- Willingness to learn and adapt to changing procurement processes.
- Integrity and ethical behavior in handling sensitive procurement information.
- Cultural sensitivity and ability to respect and work well with people from different backgrounds and disciplines.
- Willingness to visit and stay at remote area.
Responsibilities & Context
- The Procurement officer will play a vital role in supporting the procurement process by assisting with sourcing suppliers, managing purchase orders and ensuring timely delivery of goods and services.
- Job Responsibilities:
- Sourcing Suppliers:
- Conduct market research to identify potential suppliers/vendors.
- Obtain price quotations and negotiate terms and conditions.
- Maintain a comprehensive supplier database.
- Purchase Order Management:
- Assist in the developing and processing of purchase/work orders maintaining compliance issues.
- Review purchase orders for accuracy and completeness.
- Track and monitor order status to ensure timely delivery.
- Vendor Communication:
- Communicate with suppliers to resolve order discrepancies or issues.
- Communicate delivery schedules and expectations to suppliers.
- Maintain positive relationships with vendors.
- Inventory Control:
- Monitor and update inventory levels to avoid stockouts.
- Assist in conducting regular stock counts and reconciliation.
- Coordinate with relevant departments to manage surplus or obsolete inventory.
- Documentation and Record-Keeping:
- Maintain accurate procurement records, including purchase orders, contracts, warranty documents.
- Organize and file procurement documents for easy retrieval.
- Prepare reports and summaries as needed.
- Ensure accurate and up-to-date documentation is maintained for audit purposes.
- Compliance and Policy Adherence:
- Ensure compliance with procurement policies and procedures.
- Assist in the evaluation and qualification of new suppliers.
- Stay up-to-date with procurement regulations and policy best practices.
- Cost Control:
- Assist in cost analysis and cost-saving initiatives.
- Identify opportunities for cost reduction without compromising quality.
- Administrative Support:
- Provide administrative support to the procurement team as required.
- Schedule meetings, maintain calendars, and assist with correspondence.
- Any task assigned by the management.
