IFC is seeking to recruit a highly motivated, well-organized and experienced Program Assistant who will report to the Country Manager and provide a full range of executive support functions, to include administrative management and coordination, quality assurance (i.e. documents, processes, etc.), liaison with external officials and contacts, general research and reference work and lead coordination role within the front office.

Duties and Accountabilities:

Administrative Support:

•   Assist in the preparation and coordination of meetings, workshops, and conferences.
•   Maintain and update program files, records, and databases.
•   Manage correspondence, including emails, memos, and reports.
•   Ensure proper documentation and archiving of program materials.
•   Draft and edit documents as required.
•   Provide support during procurement of services.
•   Perform other ad hoc tasks as may be requested.

Logistical Support:

•   Arrange travel itineraries for program staff, including booking flights, accommodations, and ground transportation.
•   Prepare travel documents and itineraries for staff and participants.
•   Assist in the planning and execution of program-related events such as workshops, seminars, and conferences.
•   Coordinate venue bookings, catering services, and audio-visual equipment setup.
•   Manage participant registration and attendance tracking.

Documentation and Communication Support:

•   Facilitate communication between program staff, partners, and stakeholders.
•   Support the team in preparing materials for internal and external distribution, including the compilation of data.
•   Manage critical files and confidential material with discretion, following the WBG Access to Information policy.

Selection Criteria

•   Minimum bachelor’s degree with at least 5 years of experience or equivalent combination of education and experience.
•   Excellent knowledge of Microsoft Office applications and proficiency in technology or/and systems relevant to functional area.
•   Able to organize, coordinate, monitor and implement tasks and projects with minimal supervision and resolve competing demands.
•   High degree of flexibility and demonstrated capacity to handle a variety of concurrent activities, judge priorities, seek guidance and take initiative in a fast-paced team environment.
•   Ability and motivation to proactively learn new developments in relevant policies, procedures and technology.
•   Strong communication skills, ability to communicate in a constructive and professional manner.
