ABOUT UNOPS
The United Nations Office for Project Services (UNOPS) is a UN agency that implements infrastructure and procurement projects for the UN System, international financial institutions, governments, and another partners over the world. UNOPS offers implementation, advisory, and transactional services in its five core areas of expertise.. UNOPS often works in post-disaster and peace and security settings, improving countries, and economies in transition. TASKS
The requirements for Project Management Support Officer are :
Project performance
- Prepare and sustain project records, including internal and external project reports.
- Manage information flow, change control, risk register and issue resolution by establishing document control methods.
- Assure the progress of activities and the delivery of work packages.
- Coordinate with the project manager and convey to him the progress of the work.
- Notify and advise the project manager of any deviations from the plan and make the necessary updates.
- Determine and handle risks in collaboration with the project manager.
2. Economic and purchasing administration
- Keep and file all project financial documents for audit and review purposes.
- Assure accurate data entry into UNOPS ERP.
- Observe project expenses and budget as well as all administrative procedures in accordance with the work plan.
- Process straightforward payments and advance payment requests, and prepare project budget revisions.
- Develop economic reports adopting financial controls and reporting templates in line with UNOPS conditions.
- Help the Project Manager by monitoring budgets and cash, and reporting on expenditure obligations to ensure timeliness is met.
- Inform the project manager of any financial shortfalls or overspending.
- Suggest budget revisions and take the necessary corrective measures.
- Coordinate required meetings, communications and reports with suppliers.
3. Monitoring and reporting
- Actively partake in the preparation of reports and project documents by assisting the project manager.
- Sustain and file project documents and other supporting documents.
- Handle the following records: QA log, configuration logs, and all other logs and records as directed by the project manager.
- Help the Project Manager by managing the following: i. Electronic record; ii. Documents relating to procurement, human resources and finance, in accordance with the requirements of Organizational Directive No. 12.
- Oversee the compilation, consolidation and analysis of data relevant to the mission.
- Aid the project manager in the preparation of project completion reports and ensure compliance with contractual obligations.
4. Coordination and administration of stakeholders and communications
- help the coordination and management of communications.
- Intercommunicate and build strong relationships with other UN agencies and international non-governmental organizations (NGOs) to facilitate the performance of activities and improve the quality and relevance of data and analysis.

QUALIFICATIONS
The requirements for Project Management Support Officer are :
- The nominee must hold a Bachelor’s degree in a relevant discipline (e.g. in business administration, logistics, crisis management, accounting, international relations).
- An undergraduate university degree mixed with 2 years of additional professional background may be accepted in lieu of the requirement mentioned above.
- The nominee must have at least 2 years of relevant experience with progressive responsibilities, mainly focused on supervision, reporting, development, and coordination, in the field of project management and activities.
- The candidate must have at least one year of background in the field of accounting and financial management.
- Background working in emergency humanitarian contexts as well as a good knowledge of humanitarian coordination mechanisms, donors, security measures, and activities in this field is desirable.
- Fluency in Portuguese or Spanish is demanded.
- Working knowledge of English is demanded.
