For every child, inclusion

Under the general supervision of the Supply and Logistics Specialist, the Supply and Procurement Associate prepares requests for proposals and purchase orders for all kinds of goods and services, obtains quotations from local vendors, monitors status of financing and maintains financial records of purchase allotment accounts.

How can you make a difference?

Supply and Logistics Associate contributes to the effectiveness and efficiency of the Supply and Procurement Unit, and the implementation of the Supply and Logistics work, by providing support and specialized assistance to all staff in the assigned areas of responsibility.

Key Accountabilities, Duties and Tasks

Receives and reviews requisitions in SAP / VISION for clarity, adequacy of specifications and completeness, confirms availability of funds, and obtains additional information considered necessary.
Compiles lists of local and offshore sources of procurement, draft solicitation documents and contacts local and offshore vendors for price quotations, prepares summary of bids, CRC submissions and Award adjudications. Drafts procurement and logistics operations related correspondence.
Coordinates meetings of Local committees related to supply and logistics operations, by arranging for suitable dates and time and platforms, sharing files containing the cases to be presented and preparing minutes of the meetings and obtain approvals.
Once decision on supplier is taken, prepare purchase order documents and LTAs for supervisor and other authorizing officers and vendors signatures; ensures distribution of signed purchase document to all required sections and file the document ,
Update supply-contracts plan with the purchasing documents information.
Provides procedural training to different stake holders.
Reviews allotment account codes of funding sources to ensure funds availability; records expenditures, and -inform procurement officer status of allotments, on a regular basis.
Follow up with sections on PO/contract status and close contracts after payment and obtaining the vendor evaluation form.
Extracts procurement information from SAP/VISION, other sources of information and records and summarize for budget presentation,
Maintains manual and automated procurement files and records; provides purchase information to receiving and inventory staff; maintains procurement supply and vendor reference library.
Any other tasks as and when assigned by the Supervisor/OIC or S&P Officers.

Minimum requirements:

Education: Completion of secondary education.
Work Experience: A minimum of 6 years of progressively responsible clerical or administrative work, with specialized experience in purchasing a variety of materials and services. For this position, a bachelor’s degree from a recognized academic institution in a relevant field may replace three years of related work experience. A master’s degree may replace an additional two years.
Language Requirements: Fluency in English and Turkish is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
Desirables:

Developing country work experience and/or familiarity with emergency.
Training in Supply and Procurement field is desirable.
Experience with SAP is considered an asset

Otherwise, the selection will be canceled.
