Under the general supervision of the Resource Management Officer (RMO) and the direct supervision of the National Legal Assistance Officer, the role will be responsible for carrying out the assigned functions detailed below:
Responsibilities
- Support the review of legal documentation to integrate the files of agreements signed with counterparties, service providers, implementing partners, among others.
- Keep track of documentation received and pending filing.
- Monitor and update the databases assigned to you.
- Organize and maintain proper control of the Legal Unit’s digital and physical files.
- General administration of the Legal Unit.
- Assist in the management of the corresponding signatures of contracts, amendments, and other legal documents that the IOM signs with counterparties, service providers, implementing partners, among others.
- Maintain up-to-date documentation files necessary for preparing contracts, agreements, donation certificates, etc.
- Review that the necessary documentation is available and refine it for the preparation of Contracts/Agreements/Conventions.
- Support the Legal Unit in the preparation of contracts, amendments, donation deeds, and other legal documents, when necessary.
- Request and follow up on the approval of legal documents from LEGCR when necessary.
- Assign reference numbers to approved agreements/conventions for signature and maintain proper control over them.
- Support in the translation of documents from English to Spanish and vice versa.
- Other associated and relevant functions for the proper administration of the Legal Unit that may be assigned by your supervisor according to the needs of the position.
Qualifications
- Recent graduate or in the process of obtaining a Bachelor’s degree in law or administrative/social careers.
- Handling Office 365 and databases.
- File management.
- One year of experience in a similar position.
- Excellent spelling and writing.
- Attention to detail.
- Working under pressure.
- Focused on goals and results.
- Knowledge of the legal and administrative procedures of the United Nations System will be considered an advantage.
- Fluency in Spanish and English will be necessary.
