About UN Jobs in Sudan-Administrative Assistant

The Administrative Assistant assists the supply of administrative services under the direction and oversight of the Administrative Associate, assuring high standards of work quality, accuracy, and uniformity in accordance with UNFPA policies and procedures.

Under the direction and control of the administrative associate, the administrative assistant supports the delivery of administrative services while assuring high standards of work quality, accuracy, and uniformity in accordance with UNFPA policies and procedures.

Responsibilities of the UN Jobs in Sudan-Administrative Assistant

  • Full compliance of administrative activities with UNFPA rules, regulations, policies and strategies.
  • Provision of inputs to the CO administrative business processes mapping and implementation of the internal standard operating procedures (SOPs).
  1. Ensures effective administrative and logistical support, focusing on achievement of the following results:
  • Timely processing of payments related to general services, Includes control and processing of recurrent and day to day operational/maintenance transactions of Khartoum office and all field offices, such as: repairs, telephone, cell phone, satellite phones, internet, energy, electricity, courier, mail,  fuel, rent, tap water, drinking water,  repairs and maintenance of premises, cleaning services, cleaning supplies, stationery and office supplies, and other operational expenses to ensure continuity of services with best quality.
  •  Ensures invoices are well supported and prepares payment requests to be submitted to Finance Section, including Req creation and PO in the system.
  • Provision of support to maintenance of common premises and common services
  • Timely processing of staff mobile allowance payment &reconciliation, and distribution to staff, prepare for postpaid lines reconciliation by staff.
  • Provide Administrative support to organization of conferences, workshops, retreats.
  • Arrangement of hotel reservations, office space and furniture for staff.
  • Timely processing of procurement requests of goods and services; ensuring transparency, readiness, quality, and best value for money and ensure that procurement process fully complied with UNFPA rules and regulations, procurement guidelines and other relevant guidelines (PPM).
  • Calculating the over time for all staff and making sure that all needed supporting documents are properly filed.
  • Provide support as needed to the field offices staff on Administration/procurement related issues.
  • Quote for office supplies and services related to the operations of UNFPA office, field offices.
  • Arrangements of travel and hotel reservations, processing requests for visas, identity cards and other documents.
  • Arrangement of vehicle transportation, regular vehicle maintenance and insurance.
  • Checking and recording of vehicle daily log and gas consumption, update and maintenance of vehicle history report.
  • Custodian for management of office stationery supplies including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution.
  • Maintenance of the filing system ensuring safekeeping of confidential materials & maintain the unit filing system.
  • Assist the Admin Associate to conduct the Annual Asset Physical Count in Field Offices preparation of Asset Custodian forms and filling Maintenance for Asset.
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to head of units.
  • Carries out any other duties as may be required by the Head of the Administration Section or the International Operations Manager

Requirements of the UN Jobs in Sudan-Administrative Assistant

Education:

  • secondary schooling with an advantage of a bachelor’s degree in a related area.
  • 5 years of pertinent administrative/procurement/protocol/logistics expertise, ideally with UN or other international organizations.

Experience:

  • Experience in relevant administrative, procurement, procedure, and logistics, ideally with UN or other foreign groups.

languages:

  • Fluency in oral and written English and Arabic.
