About UN Jobs in USA-Administrative Assistant

For a roster for its office in Washington, DC, PAHO is hiring temporary administrative support personnel. Longer-term opportunities may become available.
The PAHO will keep a list of applicants willing to work on temporary contracts. Candidates must satisfy the minimal requirements for the positions, the description of the duties, and the scores obtained on the test(s) and interview(s) in order to be eligible for inclusion on the roster and, subsequently, eligibility for contracts at the G.4 level. The length of the contract will be determined by the department’s needs. The incumbent will typically assist professional staff members with administrative tasks.

Responsibilities:

The incumbent is accountable for the following assigned tasks, but not exclusively so, under the direct supervision of the hiring manager:

  1. Type drafts, reports, articles, forms, and a variety of correspondence in English and Spanish using standard office computer software; draft, edit and review text for accuracy, correct spelling, and to ensure orderly presentation;
  2. Prepare correspondence on own initiative or from verbal or written instructions and finalize for signature; prepare draft translations of correspondence and other documents; format and prepare in final form a variety of documents in English and Spanish; review, proofread and recommend revisions to correspondence and other material for the clearance/signature of the corresponding hiring manager, ensuring clarity and accuracy in content, according to the Organization’s standards and policies;
  3. Assist in the coordination, preparation and development of internal and external technical meetings, conferences, seminars, workshops and studies, including:  the preparation of agendas, compilation and assembly of background information for documents, publications, and final reports; coordinate logistical arrangements ensuring compliance with staff and participants’ travel procedures and practices; provide secretarial/support functions as required; prepare event management templates, letters of invitation, as well as any other pertinent documentation, etc.;
  4. Assist in the preparation of technical presentations, technical reports and articles by reviewing, correcting and/or rewriting texts to improve clarity, conciseness and coherence;
  5. Perform support functions, including but not limited to: placing and answering telephone calls; receiving visitors; arranging appointments and keeping a calendar of these appointments; locating background material and files; compiling data for the preparation of correspondence and/or reports; assembling correspondence for mailing; entering requisitions in PMIS, etc.;
  6. Maintain an organized and updated electronic filing system for correspondence, documents, publications, reference materials, etc.;
  7. Provide administrative support to organize travel for technical staff and Consultants, when needed, including obtaining concurrence, airline tickets, hotel reservations, security clearance, gathering and validating relevant background information for duty travel, and completing necessary processes in PMIS, including spend authorizations, purchase of airline tickets and expense reports;
  8. Perform other related duties, as assigned.

Education:

  •  Certificate of completion of high school.

Experience:

  • Four years of experience in administrative or general office work. Four years of experience in general office or administrative work, or two years of such experience plus one year of college-level study toward a stated major or minor in social sciences, business administration, or a comparable field.

languages:

  • Very good knowledge of English and Spanish.
