Overview of position
The contracted personnel are responsible for the overseeing the planning, execution & implementation of RFID systems within the mission.
The functions include overseeing warehouse operations & leveraging the ERP system (UMOJA warehouse module) to optimize efficiency, accuracy & inventory management.
Additionally, s / he will also technically assist & support all other field office locations throughout the mission area whenever required.
Role objectives
Develop comprehensive project plans outlining scope, objectives, timelines, resources & deliverables for RFID implementation.
Data extraction, analysis & the design of Power BI dashboards.
Identify & engage key stakeholders, including internal teams, clients, vendors & partners, to ensure alignment of project goals & requirements.
Work closely with technical teams to design RFID systems tailored to the organization’s needs, including hardware selection, tag placement, reader configuration & integration with existing systems.
Manage vendor relationships throughout the project lifecycle.
Develop project budgets, monitor expenditures & ensure that RFID projects are delivered within budget constraints.
Identify cost saving opportunities & mitigate budget overruns.
Identify potential risks & challenges associated with the RFID project, such as technology limitations, regulatory compliance issues & organizational resistance.
Develop risk mitigation strategies to minimize project disruptions.
Maintain comprehensive project documentation, including project plans, status reports, meeting minutes & technical specifications.
Prepare regular progress reports for stakeholders & senior management.
Oversee the implementation & deployment of RFID systems, ensuring that installations are completed on time, within scope & according to quality standards.
Coordinate with IT teams & facilities management to ensure smooth rollout.
Establish quality standards & performance metrics for RFID systems.
Conduct regular quality checks, audits & testing to ensure that RFID solutions meet specifications & deliver desired outcomes.
Create reservations & notifications in UMOJA & keep accurate records of work completed & materials issued.
Oversee the UMOJA configuration, user access & system updates related to warehouse operations.
Analyze existing warehouse processes & workflows to identify inefficiencies & areas for improvement.
Utilize the UMOJA capabilities to streamline operations, reduce cycle times & enhance productivity.
Oversee inventory control processes, including receiving, storing, picking, packing & shipping of goods.
Utilize UMOJA to maintain accurate inventory records, track stock levels & optimize inventory replenishment strategies.
Coordinate order fulfillment activities to ensure timely & accurate order processing.
Utilize the UMOJA system to manage order prioritization, allocation & fulfillment workflows, optimizing order accuracy & customer satisfaction.
Monitor Key Performance Indicators (KPIs) related to warehouse operations, such as order accuracy, on time delivery, inventory accuracy & labor productivity.
Utilize the reporting & analytics capabilities to track performance metrics & identify areas for improvement.
Implement quality control processes to ensure the accuracy & integrity of warehouse operations.
Utilize the UMOJA system to track quality, conduct inspections & manage non conforming inventory.
Project reporting
The ICT Project Support will be working under the direct supervision of the Chief Centralized Warehouse Unit in South Sudan.
Key competencies
Experience in South Sudan is desirable.
Must have a national driver’s license & able to drive a light vehicle with manual transmission.
Must be fluent in English, both written & oral.
Excellent client orientation skills with attention to technical details.
Strong communication & organizational skills.
Works collaboratively with & supports colleagues / clients to achieve common goals.
Must have at least 8 years of working experience relating to the required technical knowledge as listed in the objectives above.
Experience & knowledge on data analysis is required.
In depth understanding of RFID technology principles, applications, standards & best practices is essential, this includes knowledge of RFID hardware (tags, readers & antennas), software systems is desirable.
Computer literate with proficiency in MS Office Suite & others is desirable.
Experience with ERP system (UMOJA), Power Apps are desirable.
In depth understanding of ERP systems, particularly those modules related to warehouse management (& inventory management) is desirable.
Experience working in warehouse operations or supply chain management roles is essential, this includes hands on experience with warehouse processes, inventory control, order fulfillment & logistics management is desirable.
Proficiency in technical skills related to ERP systems, such as system configuration, customization, data migration, troubleshooting & integration with other systems (e.g., barcode scanners, RFID systems) is desirable.
Excellent communication & interpersonal skills are essential for effectively collaborating with stakeholders & cross functional teams, presenting technical information to non technical stakeholders & building relationships with clients, vendors & partners is desirable.
Must be fluent in English, both written & oral.
