Job Overview
The Warehouse Assistant is responsible for ensuring the overall care and maintenance of the Core Relief Items warehouse. S/he will be responsible for supporting the day-to-day warehouse operations, including receipt, storage, stock tracking, and dispatch of CRIs. The role ensures accurate documentation, accountability of relief items, and compliance with IRC supply chain procedures and UNHCR’s stock requisition and release procedures to enable timely and effective distributions to refugees and asylum seekers. The Warehouse Assistant must be able to rapidly turn Program materials around, whilst ensuring the security of the materials and maintaining audit-compliant records, and prepare a monthly report for the expendables, assets, and equipment. The position holder will report to the Field Manager.
Major Responsibilities
Warehouse Operations:
• Monitor security of the IRC’s storage and supplies.
• Receive CRIs delivered to the warehouse and verify quantities against waybills, delivery notes, and purchase orders.
• Conduct physical inspection of items for quality, damage, expiry or shortages upon receipt.
• Ensure proper stacking, labeling, and organization of CRIs in the warehouse following FIFO/FEFO principles. Make sure warehouse is organized in a logical way so that materials can be located and counted easily, and there is sufficient space for movement and operations.
• Maintain cleanliness, safety, and security of the warehouse at all times.
Stock Management and Documentation:
• Receive goods from suppliers and other sites; inspect for damage or missing items; update all warehouse documentation.
• Maintain accurate stock records including Goods Received Notes (GRNs), Stock/bin cards, Dispatch notes and Waybills among others
• Update daily stock movement records and reconcile physical stock with documentation.
• Support periodic stock counts, daily, weekly, and monthly reconciliations, and spot checks.
• Immediately report discrepancies, losses, damages, or expiries to the Field Manager and Protection Coordinator.
Dispatch and Distribution Support:
•  Prepare CRIs for dispatch according to approved distribution plans.
•  Support loading and offloading of CRIs during transportation to reception centers and settlements.
•  Ensure correct quantities are released based on authorized release orders.
•  Participate in CRI distributions when required, including verification and documentation.
Coordination and Compliance:
•  Work closely with Program, MEAL, and Protection teams to support planned distributions.
•  Ensure adherence to IRC, UNHCR, and OPM logistics and accountability standards.
•  Support audits, donor verification exercises, and partner monitoring visits.

 

Health, Safety and Safeguarding:
• Promote safe warehouse practices, including fire safety and proper handling of materials.
•  Adhere to IRC safeguarding, PSEAH, anti-fraud, and code of conduct policies.
•  Immediately report any suspected misconduct, fraud, or diversion of relief items.
•  Any other duties that may be assigned from time to time.
Minimum Qualifications and Experience
• Bachelor’s Degree in Stores Management, Logistics and Supply Chain Management and Business Administration or related field from recognized University or institution.
•  Minimum 3–5 years’ experience in warehouse or stores management, preferably in humanitarian or NGO settings.
•  Experience handling relief items or emergency supplies with an International Organization is an added advantage.
•  Prior experience working with UNHCR-funded projects.
•  Familiarity with CRI kits and emergency distribution procedures.
•  Experience working in refugee settlements or similar contexts.
•  Strong understanding of warehouse and inventory management principles.
•  Ability to maintain accurate documentation and records.
•  Basic computer skills (MS Excel, Word).
•  High level of integrity and accountability.
•   Ability to work under pressure and during emergency response.
•   Good communication and teamwork skills.
•   Willingness to work extended hours during distributions.
