About MEDAIR:

Medair is an international humanitarian organization established in 1988. Medair has been operating in Afghanistan since 1996 with programs mainly in the Health, Water & Sanitation, and Livelihoods sectors with significant reconstruction activities in remote areas. Current projects are Water & Sanitation, Food Security, & Disaster Risk Reduction.

An Integrated Emergency Response: Medair aims to respond to high levels of food insecurity, malnutrition, and morbidity in Tirinkot district.  The project intends to improve and extend WASH services including water supply infrastructure and hygiene practices to improve outcomes for vulnerable families.

An Integrated Emergency Response: Medair aims to respond to high levels of food insecurity, malnutrition, and morbidity in Uruzgan, which has been significantly affected by drought and conflict conditions. Building upon Medair’s decades of experience in the Central Highlands and Kandahar, the project intends to improve and extend the utilization of lifesaving preventive and curative nutrition and health services by mothers, PLWs, and children U5; to increase access to clean water, to reduce vulnerability to water-related and other preventable diseases, and to improve and increase food security for the most vulnerable families through food voucher distributions.

Job Description:

Overall purpose

· To handle the inbound and outbound of supplies, medicines, and nutrition consumables in the Medair Kandahar store.

· To organise the store: ensuring safe handling and storage of medicines, nutrition products, and other supplies, including proper tracking of expiry dates, configuration to use first-to-expire consumables first, and adherence to standard documentation procedures.

MAIN ACTIVITIES

Warehouse Management:

  • Ensure goods are safely stored and stacked; to enable first in/expired and first out procedures [FEFO] apply to all type supplies, to minimize damage of fragile products and to ensure the arrangement of supplies follow Medair standard and well organized.
  • Ensure the safe handling and storage of medicines, nutrition products include proper handling temperature controlling, expiry date, configuration with batch number and donors.
  • Ensure all supplies fill in from waybill (reflecting PR) to stock arrangement, record in bin card, stock card, registering in stock report and database adhere with Medair standard documentation procedures.
  • Ensure all supplies requested by the requestor follow Medair procedure, having valid Stock Request and ensure transfer and transport from Warehouse to destination is well organized.
  • Maintain a clean and orderly warehouse, ensuring that infection control measures are always followed, maintaining a high level of cleanliness and monitoring temperature/humidity.
  • Ensure that the condition and expiry dates of drugs, medical supplies and supply food ordered are properly checked regularly.
  • Ensure that all medications are stored in the correct manner using principles of FEFO to ensure high quality of medications and safety of patients.
  • Ensure incoming supplies are cleared with the waybills and enrolled in the storeroom stock correctly.
  • Conduct proper physical stock counts monthly or as determined by the Medair Project Support Manager.
  • Provide weekly, monthly, and quarterly stock consumption reports to the Health Managers.
  • Report all issue of stock rupture and expiry drugs to the Sn. Logistic Officer and Project Managers.
  • Assist with reasonable additional duties after appropriate training and as requested by Project Support Manager, Health Manager or Health Project management staff.
  • Support and provide refreshing training for subbases warehouse focal points to ensure that Medair standard setup and warehouse handling applied properly.

Logistics Duties –

  • Assist the Logistics team in preparing and receiving Waybills, ROGs, POD, etc.
  • Assist the Logistics team in tracking PRs and other orders.
  • Assist the Logistics team with any other reasonable task.
  • Remain flexible to assist in other duties or other administrative tasks as required by the line manager.

Staff Safety and Security

  • Ensure personal understanding of Medair Standard Operating Procedures.
  • Always comply with Medair security procedures, always remaining aware of the security situation in the warehouse.
  • Report any security incidents of concerns immediately to Sn. Logistic Officer and Project Support Manager.
  • Report on any issues regarding workplace practices to the Project Support Manager.
  • Ensure the warehouse is properly locked and secured when the warehouse is closed.

Job Requirements:

Education: Diploma in Business Administration is essential and Bachelors in Medicine/Logistics/Pharmacy is desirable.

Relevant experience: 2 years working in warehousing, at least 1 year in pharmacy.

Languages: Fluent Pashto oral and written skills and good English oral and written skills is essential and excellent English oral and written skills is desirable.

Computer: Ease with MS Excel, MS Word and online warehousing data base.

Organizational capacity: Ability to prioritise and multi-task and ability to perform the duty in efficient way.

Team building: Leadership skills and team player and ability to assist his/her teams when needed.

Adaptability: Ability to work under time pressure, ability to work in cross-cultural context and Keen to learn and develop new skills / take on new responsibilities.

Problem solving & initiative: Prompt to take initiative, gives rational recommendations for decision-making and solution-oriented

Character: Honest and conscientious, dedicated with strong attention to detail and accountable high work-ethic.

Communication skills: Maintains perfect communication with line manager and other team-members Willingness to listen.
