Job Description:

The procurement officer is responsible for overseeing the procurement process for goods and services required by the organization. This position involves sourcing suppliers, negotiating contracts, and ensuring timely delivery of materials while adhering to budgetary constraints and quality standards. The procurement officer works closely with internal stakeholders to understand their procurement needs and develop procurement strategies to support organizational objectives.

Duties and Responsibilities:

  • Develop and implement procurement strategies to meet the organization’s purchasing requirements and objectives
  • Identify potential suppliers and solicit competitive bids or proposals for goods and services
  • Evaluate supplier proposals, negotiate terms and conditions, and select vendors based on factors such as price, quality, and delivery capabilities
  • Prepare and issue purchase orders or contracts to approved suppliers, ensuring compliance with organizational policies and procedures
  • Monitor supplier performance and address any issues or concerns related to product quality delivery delays or contract compliance
  • Coordinate with internal stakeholders to understand their procurement needs and requirements and provide guidance and support throughout the procurement process
  • Maintain accurate records of procurement transactions, including purchase orders, contracts and supplier agreements.
  • Analyze procurement date and trends to identify opportunities for cost savings, process improvements, and supplier consolidation
  • Ensure compliance with relevant laws, regulations, and industry standards governing procurement activities
  • Develop and maintain relationships with key suppliers and vendors to foster long-term partnerships and maximize value for the organization
  • Participate in supplier meetings, conferences, and industry events to stay informed about market trends and developments
  • Collaborate with finance and accounting teams to reconcile invoices, resolve billing discrepancies, and ensure timely payment to suppliers
  • Provide guidance and training to staff involved in the procurement process to promote best practices and compliance with procurement policies and procedures
  • Perform any other activities as assigned by the direct supervisor.

Job Requirements:

Required Qualifications:

  • Education: Bachelor’s degree in Business Administration, Supply Chain Management, or related field Master’s degree preferred
  • Experience: 3 years of working experience in a similar position preferred.
  • Languages: Proficiency in both national languages and English language is an advantage
  • Excellent negotiation and contract management skills, with the ability to negotiate favorable terms and conditions
  • Detail-oriented and organized, with the ability to manage multiple procurement projects simultaneously and meet deadlines
  • Familiarity with relevant laws, regulations, and industry standards governing procurement activities
  • Excellent communication and interpersonal skills
  • Attention to detail and ability to work under pressure in a fast-paced environment
  • Proficiency in relevant software applications
  • Self-motivated, Quick learner with a positive attitude.
  • Cooperative and team-working skills
  • Being flexible regarding working hours.
  • Disciplined, honest, professional, and hard worker.
