About UN Jobs in Yemen-Supply Associate

Under the direction of the Supply Officer, the Supply Associate performs a wide range of transactional, procedural, and administrative duties in support of the country office’s effective supply and procurement, ensuring timely completion of work that complies with UNICEF policies and regulations, and displaying the ability to investigate, modify, and evaluate irregular cases as well as to suggest improvements to process delivery mechanisms.

Accountabilities:

The following duties are anticipated to be completed with a high degree of independence at the G-6 level.

  • creates lists of regional sources for purchasing, contacts regional suppliers for price quotes, and creates a summary of bids that includes information on the price and terms of the offer.
  • Make ensuring that Long-Term Arrangements (LTAs) are established, and respond to any necessary procurement requests. Requests for Quotations (RFQs), Invitations to Bid (ITBs), and Requests for Proposals (RFPs), as asked by the Supervisor, should be prepared and processed. Arrange bid openings and, where necessary, carry out technical and financial analyses of offers. Uphold the highest levels of ethics, morality, and responsibility when purchasing goods and hiring services.
  • Create award requests, along with submissions to the contract review committee. Ensure that all documentation for UNICEF systems is complete by creating purchase orders and contracts in SAP and submitting them for the necessary permissions.
  • Coordinates meetings of the Tender Committee or Local committee on Contracts, by arranging for suitable dates and rooms, and by preparing and distributing files containing the cases to be presented.
  • Once a supplier has been chosen, create the PO, gather the necessary paperwork for the supervisor’s signature, make sure the purchase document is distributed to the necessary offices, and make sure the obligation to pay is noted. provides procedural instruction and gives the secretary administrative duties.
  • Keep track of local purchases of goods and services in terms of shipping, handing over, ensuring quality, and submitting bills for processing.
  • Follows up with different stakeholders for the timely processing of supplier invoices and resolve any hinderance to the process.

Education:

  • High school graduation or equivalent, including courses in accounting and/or purchasing strategies.

Experience:

  • Having worked in administrative or clerical roles for six years with increasing responsibility, you have specialized purchasing knowledge.

Languages:

  • Arabic and English proficiency are essential (verbal and written). Chinese, French, Russian, Spanish, or any other UN language proficiency is a plus.
